Job summary

PG SHIPMANAGEMENT PTE. LTD. is seeking a crewing coordinator to support the daily operations of the crewing team in Singapore. You will coordinate crew schedules, manage certifications, handle payroll, and maintain open communication with crews, families, and maritime agencies.

Experience in HR or maritime crewing is advantageous. The role involves liaising with ship masters, manning and port agencies, and flag state authorities to ensure compliant and smooth crew management.

Qualifications

• Strong communication with ship masters, manning agencies and flag state authorities.

Responsibilities

• Assist crewing team with daily operations to ensure smooth workflow.
• Coordinate with ship masters, manning agencies and port authorities on crewing matters.
• Brief and debrief crew members and provide support as needed.
• Prepare crew master plans for designated rank groups to optimize deployment.
• Plan monthly crew rotation schedules and notify stakeholders.
• Arrange crew signing on/off procedures and maintain records.
• Ensure certificates are valid and compliant with regulations.
• Monitor and renew certificates and endorsements as required.
• Update certificate status in the PAL system.
• Handle crew payroll processing accurately and timely.
• Assist vessels with crewing-related matters to support operations.
• Maintain filing systems for easy retrieval and compliance.
• Provide services and communication between crews and families for welfare.
• Assist in ad-hoc projects and prepare reports for crewing management.
• Organize crew and family gatherings to foster morale.

Job Summary

Support the crewing team in daily operations by coordinating crew schedules, managing certifications, handling payroll, and maintaining communication with crew, families, and relevant maritime agencies. With HR experience will be a plus point.

Responsibilities

• Assist the crewing team with daily crewing operations to ensure smooth workflow
• Communicate regularly with Ship's masters, manning agencies, port agencies, and flag state authorities to coordinate crewing matters
• Brief and debrief crew members and provide appropriate support and entertainment when needed
• Prepare crew master plans for designated rank groups to optimize crew deployment
• Plan monthly crew rotation schedules and notify relevant parties to ensure timely crew changes
• Arrange crew signing on and coordinate crew signing off procedures to maintain accurate records
• Monitor that joining and onboard crew hold valid National/Flag State certificates to comply with regulations
• Follow up on certificate renewals and Flag State endorsements to maintain crew certification compliance
• Update certificate status using the PAL system to keep records current
• Handle crew payroll processing accurately and timely
• Assist vessels with crewing-related matters as practical to support operations
• Maintain filing systems according to filing instructions for easy retrieval and compliance
• Provide services and maintain communication between crews and their families to support crew welfare
• Assist in ad-hoc projects and prepare reports as assigned to support crewing management
• Organize crew and family gatherings, conferences, and parties to foster community and morale
• Execute additional tasks assigned by the Crewing Manager to support team objectives
