Job Summary

The Logistics Planner is responsible for planning and coordinating the daily logistics and operational activities for catering events. This includes manpower deployment, vehicle routing, buffet setup and tear-down arrangements, equipment planning, and ensuring timely delivery of catering services to customers. The role works closely with the Kitchen, Sales, Operations, and Logistics teams to ensure smooth execution of all events.

Responsibilities

Event Planning & Coordination

• Plan and coordinate daily catering deliveries, buffet setups, live stations, and event tear-down activities.

• Review event orders and ensure all operational requirements are fulfilled.

• Liaise with Sales and Operations teams on event requirements, special requests, and last-minute changes.

• Coordinate with kitchen production teams to ensure food readiness aligns with delivery schedules.

Logistics & Route Optimization

• Plan and optimize daily delivery routes to maximize vehicle utilization and reduce transportation costs.

• Allocate vehicles based on event size, location, and operational requirements.

• Monitor delivery schedules and make adjustments to address traffic conditions or operational disruptions.

• Ensure timely arrival and completion of all catering events.

Manpower Planning

• Schedule drivers, catering crews, buffet attendants, and setup teams based on event requirements.

• Optimize manpower deployment to ensure efficient utilization of resources.

• Arrange additional manpower for large-scale events when required.

• Monitor attendance and redeploy manpower as necessary to support operational needs.

Buffet Setup & Event Operations

• Coordinate buffet setup requirements, including tables, skirting, food warmers, serving utensils, and display equipment.

• Ensure setup teams follow company presentation and service standards.

• Monitor event execution and provide operational support where required.

• Oversee event tear-down and ensure all equipment is returned and accounted for.

Fleet & Equipment Management

• Maintain records of catering equipment, logistics assets, and event inventories.

• Ensure vehicles and equipment are properly maintained and available for operations.

• Coordinate equipment delivery and collection schedules.

Reporting & Continuous Improvement

• Prepare daily operational schedules and logistics deployment plans.

• Track logistics performance, manpower utilization, and service levels.

• Identify opportunities to improve routing efficiency, productivity, and operational processes.

• Support implementation of operational improvement initiatives.

Requirements

• Diploma or Degree in Logistics, Supply Chain, Operations Management, or related discipline.

• Minimum 4-7 years of experience in logistics planning, catering operations, event operations, or transportation planning.

• Experience in catering, food services, hospitality, or event management industry preferred.

• Strong route planning and scheduling skills.

• Knowledge of buffet and catering operations.

• Experience in manpower planning and deployment.

• Good coordination and problem-solving abilities.

• Ability to work under pressure and manage multiple events simultaneously.

• Proficient in Microsoft Excel and scheduling systems.

• Excellent communication and stakeholder management skills.

• Willing and able to work on a 6-day work week, including weekends and public holidays.

• Comfortable working in a fast-paced environment and supporting operations during peak festive periods, such as Chinese New Year and Christmas.

Salary package will be commensurate with qualifications and relevant working experience.
