Qualifications

• Diploma in Accounting or related field.
• 1–2 years billing, invoicing or accounts administration experience.
• Logistics/freight forwarding experience beneficial.
• Proficient in Microsoft Excel.
• Familiar with Xero accounting software.
• Strong numerical accuracy and time-management.
• Good communication and cross-department collaboration.

Responsibilities

• Prepare, verify, and issue customer invoices accurately and timely.
• Process daily billing for transportation, cross-border trucking, warehousing, and other logistics services.
• Verify billing details against job orders, delivery orders, rate agreements and supporting documents.
• Ensure all billable jobs are invoiced promptly and accurately.
• Prepare debit notes, credit notes, and billing adjustments when required.
• Maintain accurate and updated billing records in the accounting system.
• Liaise with Operations, Customer Service and Sales to obtain billing information and documents.
• Verify customer rates, charges, surcharges and billing arrangements.
• Identify and resolve billing discrepancies before invoice issuance.
• Follow up on incomplete billing documents and outstanding unbilled jobs.
• Respond to customer billing enquiries and resolve disputes professionally.
• Prepare daily, weekly, and monthly billing reports.
• Assist with month-end billing closing and reconciliation.
• Maintain filing and documentation of invoices and records.
• Ensure billing activities comply with policies and agreements.
