Job summary

The Skills and Workforce Development Agency (SWDA) is seeking a results-driven administrator to support organisation-wide talent management, leadership development and learning initiatives in Singapore. You will coordinate interviews, coaching sessions, and talent records, while handling finance-related admin and procurement documentation.

You will also assist with learning programme updates, training calendars, and the preparation of approvals and dashboards using approved AI and analytics

Qualifications

• At least 3 years of relevant work experience in HR administration, learning and development, talent management, HR operations or a related area.
• Strong administrative, coordination and organisational skills with the ability to manage schedules, room bookings, records, invoices, budget updates and multiple workstreams accurately.
• Good stakeholder management and communication skills, service-oriented and meticulous.

Responsibilities

• Coordinate interview schedules and logistics for talent and management interviews, liaising with stakeholders and managing changes.
• Coordinate career coaching, chat and engagement sessions, including calendar management and room bookings.
• Maintain and update talent-related records and generate or edit Workday CVs for posting histories.
• Support budget tracking, invoice processing and follow-ups; manage secondment-in, sponsorship and scholarship billings.
• Research and desktop scans of relevant training programmes and opportunities.
• Maintain learning programme information, schedules and calendars.
• Prepare approvals, procurement documentation and requisitions for training activities.
• Prepare and maintain learning and talent analysis, reports and dashboards using approved AI/analytics tools.
• Organise data, identify trends and prepare summaries for HR stakeholders with validation of AI outputs.
• Handle employee and talent data in compliance with data privacy and confidentiality requirements.
• Support the 360 Exercise project administration including timelines, schedules and logistics.
