Knowledge Management Coordinator / CBD / Contract
Summary
Provide operational and administrative support for the company’s Knowledge Management function by ensuring that knowledge assets, repositories, workflows, and collaboration platforms are effectively maintained and administered.
Responsibilities:
1. Knowledge Base (Intranet) Administration and Maintenance
- Maintain and update intranet and knowledge repositories.
- Ensure content remains current, accurate, and properly organized.
- Manage publishing schedules and archive outdated information.
- Coordinate with content owners to review and refresh information periodically.
- Support metadata tagging, document classification, and content indexing.
2. Document and Records Management
- Maintain KM-related documents, policies, guidelines, templates, and reference materials.
- Ensure documents are stored in the correct repositories and remain accessible to staff.
- Monitor document review and expiry dates and follow up with document owners.
- Support version control and document lifecycle management processes.
- Assist with migration and consolidation of documents into centralized repositories.
3. Workflow and Administrative Support
Administer and maintain KM-related workflows and trackers, including:
- Publication and knowledge product registries and databases;
- Publication review and approval workflow, including monitoring the progress of knowledge products through all review stages;
- Office schedule trackers;
- Meeting and stakeholder engagement repositories;
- Internal submission forms, SharePoint lists, and automated workflows;
- Publication-related metadata and reporting, including authorship and contribution allocation records.
- Compile, maintain, and generate periodic reports and statistics related to KM activities and knowledge products.
Requirements
- Diploma in Knowledge Management, Information Management, Business Administration, Library and Information Science, Communications, Information Technology, or other related disciplines.
- Experience in knowledge management, document management, records administration, intranet administration, or office operations
- Experience in maintaining document repositories, databases, trackers, or workflow management systems
- Experience in administering SharePoint sites and Microsoft 365 applications
Technical Skills
- Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
- Good working knowledge of Microsoft 365 applications, including SharePoint, Teams, Forms, and OneDrive.
- Familiarity with Power Automate, Power BI, or other workflow automation and reporting tools will be a plus
- Basic understanding of document management, records management, metadata, and information classification principles
