Job summary

MAESTRO HUMAN RESOURCE PTE. LTD. is seeking a proactive IT project coordinator to support planning, coordination, tracking, and admin activities for large-scale IT projects in a mission-critical environment.

You will collaborate with project teams and stakeholders to ensure effective execution and clear communication, maintaining documentation and aiding audits while coordinating schedules, meetings, and resource planning in a fast-paced setting.

Qualifications

• Diploma in IT
• Applicants with no experience welcome
• Strong organizational and coordination abilities
• Good communication and meeting-minute skills
• Familiarity with IT project lifecycles, SDLC, system deployment and cloud tech is a plus

Responsibilities

• Coordinate daily project activities to support timely project execution and delivery
• Track project progress, action items, milestones, and deliverables to ensure alignment with schedules
• Support project scheduling, meeting coordination, and resource planning to optimize team productivity
• Prepare and maintain accurate project documentation, reports, and trackers for transparency and audit readiness
• Monitor project timelines and identify potential delays or risks to escalate promptly
• Liaise with internal teams, external vendors, and stakeholders to facilitate smooth project communication
• Follow up on outstanding tasks, approvals, and action items to maintain momentum
• Arrange project meetings, workshops, and discussions, preparing agendas, MOM
• Track meeting action items and ensure timely follow-up to drive accountability
• Facilitate communication between project teams and stakeholders for status reporting
• Maintain project documentation repository with version control
• Support preparation of weekly/monthly project reports, schedules, risk/issue logs, change requests
• Assist governance with approvals, sign-offs, and deadlines
• Ensure documentation for audits and milestones
• Coordinate reviews, testing, and deployment prep with technical teams
• Collaborate with Software/System/Infrastructure/IT Security teams and vendors for testing and deployment
• Support incident tracking and escalation coordination
