The Stores & Inventory Coordinator provides administrative and operational support for the Company’s stores, inventory, consignment and production-related activities.
The role is responsible for ensuring accurate inventory records, timely processing of transactions and documentation, effective coordination with internal departments and suppliers, and proper follow-up of stores and inventory matters.
The position works closely with the Stores & Production Executive and other departments to ensure smooth and efficient day-to-day operations.
Process GRNs, picklists, Delivery Orders, certificates and other stores-related documentation.
Assist with inventory monitoring, stock reconciliation and investigation of discrepancies.
Monitor consignment inventory usage and coordinate replenishment requirements.
Prepare consignment proforma invoices, verify usage reports and process related sales orders and documentation.
Raise kitting forms and process paint work orders.
Coordinate with Stores and Production to ensure materials and related documentation are available when required.
Coordinate the purchase of stores, warehouse and operational supplies.
Obtain quotations where required and liaise with suppliers on orders, deliveries and outstanding
matters.
Maintain appropriate purchasing and supplier documentation.
Ensure timely and accurate data entry and system updates.
Process credit notes and other inventory-related transactions.
Maintain proper records and supporting documentation.
Coordinate stores and inventory matters with Production, Warehouse, Sales, Finance and other relevant departments.
Follow up on outstanding matters to ensure timely completion.
Support the Stores & Production Executive in the day-to-day administration and coordination of the Stores function.
Identify opportunities to improve processes, accuracy and efficiency.
Perform other related duties as assigned.
Minimum 3-5 years of relevant experience in administration, operations, procurement, warehouse administration or a related field.
Experience in procurement and supplier/vendor coordination.
Experience in invoicing, billing or other transactional processes will be an advantage.
Proficient in Microsoft Office, particularly Microsoft Excel.
Experience with ERP, inventory management or other business systems will be an advantage.
