Qualifications

Job description

Overview

Documents Controller is an individual contributor reporting directly to the direct reporting supervisor. The responsibilities include day-to-day liaison with clients and internal stakeholders at all levels, under the supervision of the direct reporting supervisor. The incumbent will be exposed to the full range of Singapore immigration work, especially on filing Permanent Residence (PR) and Citizenship applications. This role is responsible for developing and maintaining a strong knowledge of Singapore inbound immigration regulations and policies and is able to effectively use this knowledge to offer a high-quality service adapted to our clients’ needs. This role can lead to positions of increasing responsibilities and satisfaction.

Key Responsibilities
  • Manages the day-to-day relationship with clients and key stakeholders in their Singapore immigration application processes.
  • Organizes, drafts and reviews immigration application packages.
  • Files Long Term Visit Pass (LTVP), Permanent Residence (PR) and Citizenship applications to the Immigration & Checkpoints Authority (ICA).
  • Liaises with various government agencies (MOM / ICA / EDB / etc.) on progress, delays, or hiccups, whenever required.
  • Liaises with third-party vendors.
  • Supports clients’ queries and completion of formalities during preparation of documents, processing of applications and post-outcome of applications, through gaining intimate knowledge of each case.
  • Reads and keeps updated on latest information relating to Singapore immigration matters.
  • Liaises with clients for collection of documents or handing over of their application packages.
  • Manages clients and documents databases.
  • Meets monthly KPIs set by Management.
  • Updates and prepares reports for Management.
  • Assists in any other general administrative work.
Qualifications & Experience
  • Diploma / Advanced / Higher / Graduate Diploma in any field.
  • Proven experience in a related Government agency, e.g., Immigration & Checkpoints Authority (ICA) or Ministry of Manpower (MOM), or in a document procurement and immigration application business, handling a broad clientele range (preferred).
  • Able to plan workload often with deadlines, meet deadlines and priorities for own work, and deliver to client service standards.
  • Self-starter with great attention to detail.
  • Ability to produce clear, well-organized documents with excellent written communication skills and able to express oneself verbally in an articulate manner.
  • Language skills: Fluency in English and Mother Tongue; other languages are advantageous.
  • Required computer skills: Microsoft Office, Adobe PDF.
  • Singapore Citizens / Permanent Residents only.
