Job summary

TRUST RECRUIT PTE. LTD. is seeking a Material Control professional to manage material control activities during maintenance, service, and warranty works.

The role requires coordinating with internal and external stakeholders to ensure materials are available on site per project schedules. The ideal candidate will have a Diploma or Degree in SCM/Logistics/Engineering, experience in material control or logistics coordination, and familiarity with ERP and WMS systems.

Qualifications

• Diploma or degree in supply chain, logistics, engineering, or related field.
• Experience in material control, logistics coordination, warehouse operations, or maintenance support preferred.
• Familiarity with ERP and WMS software; Lean Six Sigma certification is a plus.

Responsibilities

Job description

Material Control

• Collaborate with internal stakeholders, customers, contractors, and suppliers on material control activities throughout the planning and execution of planned and unplanned maintenance, service, and warranty works.
• Monitor material requirements and proactively follow up with relevant counterparts to expedite deliveries and ensure materials are available on site according to project schedules.
• Coordinate with overseas suppliers and counterparts to obtain and verify shipping documentation, including Bills of Lading, Packing Lists, Commercial Invoices, and Shipping Marks.
• Liaise with freight forwarders and logistics partners to coordinate customs clearance, import documentation, port handling, and inland transportation of materials to customer sites.
• Coordinate with customer supply chain and warehouse teams to oversee the receipt, inspection, storage, preservation, and handling of materials, ensuring all items remain in good condition.
• Establish and maintain effective inventory management systems, processes, and tracking tools for serialized components, spare parts, hardware, consumables, and specialized tools.
• Coordinate with customers on warehouse space allocation, laydown areas, and staging arrangements to support maintenance and site activities.
• Supervise and coordinate contractor manpower engaged in material control and warehouse-related activities as required.
• Maintain accurate material movement and inventory records, including the tracking of serialized components and preparation of roll-in/roll-out reports.
• Conduct regular stock-takes and inventory reconciliation for consumables, hardware, spare parts, and other materials, ensuring accurate reporting of stock levels and consumption.
• Ensure all required materials are withdrawn from customer warehouses and properly staged before and throughout scheduled maintenance activities.
• Coordinate the pre-packing, temporary export, and return shipment of components to overseas repair facilities for inspection, repair, or refurbishment, ensuring all relevant shipping and export-control documentation is completed accurately.
• Monitor material availability, inventory accuracy, and logistics status to minimize delays and ensure smooth execution of site activities.

Site Administration

• Set up and coordinate temporary site offices and facilities to support project and maintenance teams during site activities.
• Manage on-site administrative arrangements, including site induction, transportation, meals, IT equipment, access arrangements, accommodation, and other site amenities.
• Coordinate with relevant stakeholders and service providers to ensure the site team has the necessary resources and facilities to operate effectively.
• Maintain proper documentation and records relating to site administration and logistics activities.

Customer Service & Stakeholder Coordination

• Maintain a strong understanding of customer requirements and proactively coordinate with internal and external stakeholders to ensure high-quality service delivery.
• Develop and maintain positive working relationships with customers, suppliers, contractors, freight forwarders, and other project stakeholders.
• Address material, logistics, and site-related issues promptly and coordinate with relevant parties to achieve timely resolution.
• Support the team in maintaining a high level of customer satisfaction and service quality.
• Perform other duties and responsibilities as assigned to support operational and customer service objectives.

Requirements

• Diploma or Degree in Supply Chain Management, Logistics, Engineering, or a related discipline.
• Relevant experience in material control, logistics coordination, warehouse operations, or maintenance support, preferably in industrial, power generation, or engineering environments.
• Familiarity with shipping documentation, customs clearance processes, and inventory management systems is advantageous.
• Training and certification in Enterprise Resource Planning (ERP) and Warehouse Management Systems (WMS) software, Lean Six Sigma would be an advantage
