Qualifications

• Diploma or equivalent in Business Administration, Human Resources, or related field preferred.
• Prior administrative experience, preferably in construction/engineering/manpower industry.
• Strong Microsoft Excel skills with large data handling and accurate data entry.
• Good knowledge of Microsoft Word and other MS Office apps.
• Strong attention to detail and ability to spot data discrepancies.
• Comfortable with routine, repetitive, high-volume administrative work.
• Good organizational and time-management skills.
• Able to work independently and meet deadlines.
• Good communication and interpersonal skills.

Responsibilities

• Provide daily administrative support to the HR Foreign Worker team.
• Maintain and update records relating to foreign workers, including personal particulars, work permits, documentation and employment records.
• Perform data entry, data checking, reconciliation and verification of large volumes of information.
• Prepare Excel reports and HR-related trackers.
• Assist with documentation for work permit applications, renewals, cancellations, transfers and MOM-related processes.
• Organise and maintain proper filing of foreign worker documents and records.
• Prepare letters, forms and other HR documentation using Microsoft Word.
• Assist with tracking worker movements, expiry dates, documentation status and other HR deadlines.
• Support the HR team in preparing reports and compiling information when required.
• Coordinate with site teams, workers and internal departments on administrative matters.
• Perform other general HR and administrative duties as assigned.
