Job summary

The Garcha Group is seeking an Engineering Administrator to support the hotel’s Engineering Department in Singapore. The role contracts administrative, coordination, and documentation duties to keep maintenance operations compliant and efficient.

You will liaise with engineering, operations, suppliers, and management to ensure timely maintenance and accurate records. Prior hotel engineering admin experience is desirable; English proficiency is essential.

Qualifications

• Experience in hotel engineering admin support is preferred.
• Demonstrated diligence and trustworthiness in admin tasks.
• Strong communication and interpersonal abilities are essential.

Responsibilities

• Provide day-to-day administrative support to the Engineering Manager and engineering team.
• Prepare, maintain, and control engineering documents, logs, reports, and records.
• Manage correspondence, filing systems, and departmental documentation.
• Log, track, and follow up on maintenance requests and work orders using the hotel’s system.
• Coordinate preventive maintenance schedules and ensure timely completion.
• Monitor service requests from guest rooms, public areas, and back-of-house.
• Prepare purchase requisitions, purchase orders, and track approvals.
• Maintain records of spare parts, tools, and inventory.
• Coordinate with suppliers and contractors regarding quotations, deliveries, and service schedules.
• Maintain statutory records related to safety, fire systems, elevators, boilers, chillers, and other assets.
• Assist in preparing reports for audits, inspections, and management reviews.
• Ensure documentation is up to date for licenses, permits, warranties, and contracts.
• Coordinate with Front Office, Housekeeping, and other departments on maintenance-related issues.
• Schedule meetings, prepare agendas, and record minutes for the engineering department.
• Assist in tracking contractor work, service agreements, and maintenance contracts.
