TRUST RECRUIT PTE. LTD. seeks an experienced professional to lead Gallery & Museum Operations in Singapore, overseeing daily operations, exhibitions, events and visitor readiness.

The role coordinates cross-functional teams across sales, exhibitions, programmes, design, logistics and administration, while managing budgets, vendors and partnerships to deliver high-impact programs.

Qualifications

  • 5-7 years of relevant professional experience, preferably within a gallery, museum, arts organization or cultural institution.
  • Experience managing teams, projects or gallery/museum operations preferred.
  • Strong organizational and project management skills.
  • Able to manage multiple projects and deadlines independently.
  • Strong communication and stakeholder management skills.

Responsibilities

  • Oversee daily operations of the gallery and museum.
  • Coordinate exhibitions, events and visitor readiness.
  • Lead cross-functional teams across sales, exhibitions, programmes, design, logistics and admin.
  • Manage budgets, timelines and relationships with artists, curators, contractors and vendors.
  • Provide regular updates to leadership and liaise with international offices.

Job description

Gallery & Museum Operations
  • Oversee daily operations of the gallery and museum.
  • Ensure both spaces are properly maintained and operationally ready for exhibitions, events and visitors.
  • Manage operational schedules, internal workflows, vendors and service providers.
  • Coordinate venue usage, events and external collaborations.
Team Management
  • Manage and coordinate the Singapore team across sales, exhibitions, programmes, design, logistics and administration.
  • Delegate responsibilities and monitor project timelines and deliverables.
  • Conduct regular team meetings and ensure effective internal communication.
  • Support recruitment, staff development and performance management where required.
Exhibition & Project Management
  • Manage exhibitions from planning, production and installation through to opening and deinstallation.
  • Coordinate exhibition timelines, artwork lists, production requirements, installation schedules and budgets.
  • Liaise with artists, curators, designers, contractors and vendors.
  • Oversee artwork logistics, shipping, packing,storage and installation.
Artists & Artwork Management
  • Maintain relationships with represented and exhibiting artists.
  • Coordinate artwork consignments, documentation, availability and movement.
  • Work with artists, studios and headquarters on exhibition preparation and artwork requirements.
  • Maintain accurate artwork and exhibition records.
Sales & Client Relations
  • Oversee gallery sales activities and support the sales team.
  • Maintain relationships with collectors, corporate clients and other stakeholders.
  • Monitor enquiries, quotations, reservations, invoicing and post-sale coordination.
  • Support artwork presentations, client visits and private viewings.
  • Provide regular sales updates to management.
Art Fairs & External Projects
  • Manage and support participation in local and international art fairs.
  • Coordinate applications, artwork selection, documentation, logistics, booth requirements and schedules.
  • Liaise with headquarters and external partners on project delivery.
  • Represent the gallery at fairs and industry events where required.
Programmes, Partnerships & Events
  • Coordinate talks, tours, workshops, VIP eventsand other public programmes.
  • Liaise with cultural institutions, corporate partners, educational organizations and external stakeholders.
  • Support partnerships and collaborations that strengthen the gallery and museum's presence in Singapore.
Budget & Administration
  • Monitor exhibition, project and operational budgets.
  • Review quotations and coordinate vendors and procurement.
  • Work with finance and administration on invoices, payments, sales documentation and reporting.
  • Prepare regular management updates on operations, exhibitions, sales and programmes.
Headquarters Coordination
  • Act as a key point of contact between the Singapore team and Gallery's international offices.
  • Provide regular updates on Singapore operations, exhibitions, sales and projects.
  • Coordinate international artwork movements, exhibitions and artist projects where required.
Requirements:
  • Bachelor's degree in Arts Management, Fine Arts, Cultural Management, Business, Communications or a related field.
  • 5-7 years of relevant professional experience, preferably within a gallery, museum, arts organization or cultural institution.
  • Experience managing teams, projects or gallery/museum operations preferred.
  • Good understanding of exhibition production, artwork handling and logistics.
