Qualifications

• ITE/Diploma in Facilities Management or 5-7 years FM experience.
• Experience in ACMV, Cranes, Hoist, Fire protection.
• Proven experience in facility management, preferably in a corporate setting.
• Excellent organizational, communication, and interpersonal skills.
• Proficiency in Microsoft Office Suite.

Responsibilities

• Manage and coordinate multiple vendors and contractors. Negotiate with vendors on contracts and costs.
• Perform spot checks on cleaning and maintenance services
• Respond to ad-hoc requests from employees or management
• Ensure all critical issues have been addressed and plan for resolution
• Monitor and manage any emergencies or urgent workplace issues.
• Continuously assess the workplace for potential improvements in efficiency, safety, or experience
• Update asset registers and maintenance schedules
• Analyse workplace data and KPIs, preparing monthly reports
• Data Analysis and Reporting: Proficiency in collecting, analyzing, and interpreting workplace data; ability to create and present KPI reports and SLAs
• Asset Management: Experience in maintaining asset registers and inventory; knowledge of maintenance planning and execution
• Vendor Management: Ability to manage and coordinate multiple vendors and contractors; experience in quality control checks and spot inspections; negotiation skills for vendor contracts and costs
• Workplace Experience and Service Management: Understanding of workplace experience concepts and best practices; customer service orientation for managing help desk operations and user requests
• Environment, Health & Safety (EHS): Understanding of EHS regulations and standards; experience implementing and maintaining EHS programs; knowledge of emergency preparedness and response procedures
• Analytical and Problem-Solving Skills: Ability to identify trends, issues, and improvement opportunities from data; critical thinking for solutions
• Communication and Interpersonal Skills: Excellent written and verbal communication abilities; ability to collaborate with departments and stakeholders
• Organizational and Time Management Skills: Capacity to manage multiple tasks and priorities; attention to detail and deadlines
• Technical Skills: Proficiency in using relevant software and tools for data management and reporting, Microsoft Office; understanding of workplace technologies and digital infrastructure
