The Facilities Manager is responsible for ensuring all offices operate safely, efficiently and consistently, while supporting the wider business as it grows. The role combines day-to-day operational oversight with strategic planning across multiple locations, making sure workplaces are well managed, compliant, and aligned with company standards.
Multi-Site Facilities & Portfolio Management: Oversee multiple office locations, making sure standards, service levels and costs are consistent across all sites. Ensure each office is well maintained and running smoothly, balancing local needs with overall company standards.
Vendor, Contract & Service Management: Oversee and manage service providers and contracts across multiple sites, covering both hard and soft FM services. Act as the primary point of contact for the Café Vendor and Landlord on all facilities-related matters. Keep on top of contractor performance and service delivery across several sites and projects at the same time. Build and maintain a strong, reliable vendor network to support consistent, high-quality service across all locations.
Service Delivery & Operations (Hard & Soft FM): Oversee hard and soft FM services across all offices, working with approved and trusted providers to keep service levels consistent and deliver good value. Coordinate teams and vendors across locations, including cleaning, maintenance, security and grounds services where applicable, to ensure everything runs smoothly.
Workplace Projects & Change Management: Support office moves, new site openings, closures and fit-outs across your locations. Plan and deliver facilities and real estate projects across multiple sites, making sure they stay aligned with budgets, timelines and business priorities.
Security, Access & Workplace Systems: Oversee security, access control and workplace systems across offices, ensuring local requirements are met while keeping a consistent global approach.
Health, Safety, Compliance & Risk: Make sure all offices meet H&S legal requirements, adapting to local regulations while maintaining overall standards. Coordinate regular site inspections and audits to ensure buildings are safe, compliant and running effectively.
Stakeholder & Leadership Engagement: Act as a trusted point of contact for Country Heads and senior leaders on workplace, real estate and facilities matters across your regions. Work closely with Finance, Legal, People and local leadership teams to support business growth and operational needs.
Front of House & Visitor Experience: Provide coverage where possible for all visitors, creating a friendly and welcoming first impression. Greet visitors on arrival, register them with building management, arrange access cards where needed and guide them to the right meeting rooms or teams. Keep the reception area clean, organised and presentable throughout the day so it always feels welcoming.
Travel and Hotel Bookings: Work with reception teams across other offices to support business travel, including helping with flight and hotel bookings.
Flexibility & General Duties: Be flexible and help out with additional tasks as needed to support the business. Step in to support other teams or take on related duties when required.
