The role involves coordinating with the Executive Director (ED) and Operations Manager (OM), liaising with departments and external parties to service the needs of residents and the organization, and ensuring compliance and documentation across facilities.
We are seeking an Executive to maintain and implement appropriate corporate policies, procedures and controls for operational processes. The Executive will work with the Executive Director (ED) and Operations Manager (OM) to coordinate with other departments and external parties to service the needs of the nursing home residents and the organization.
Assist in the maintenance for building systems, resolve issues with teams, track equipment efficiency and warranties, implement procedures, ensure safety compliance, and maintain documentation.
Assume the role of Fire Safety and/or Safety Officer.
Coordinate maintenance schedules and facility inspections across hospital premises.
Manage external vendors for supplies and services, ensuring compliance with contracts and statutory requirements and industry standards.
Liaise between internal departments and external contractors to ensure timely completion of property-related tasks.
Maintain records and databases for facility assets, maintenance history, and compliance documentation.
Manage operational technology systems, troubleshoot issues with ITD teams and implement enhancements to improve operations and service delivery.
Assisting with budget tracking and expense management for property and facilities operations.
Support audits by preparing documentation, managing follow-up actions, and maintaining required documentation as per statutory requirements.
Responding to facility-related inquiries and service requests from staff members.
Provide secretariat support for meetings, supporting the preparation of reports and presentations on property and facility matters.
Ensuring compliance with relevant regulations and hospital policies regarding property management.
Degree / Diploma in Building / Estates Management / Real Estates / Engineering / Hospitality or equivalent
Fire Safety Manager (FSM) / Safety Officer (SO) Certification and Company Emergency Response Team (CERT) Certification would be an advantage
Strong organisational and time management skills with the ability to prioritise multiple tasks effectively
Experience in healthcare setting would be an advantage
Proficiency in Microsoft Office applications
Excellent written and verbal communication skills
Attention to detail and accuracy in documentation and record-keeping
Ability to work independently as well as collaboratively within a team environment
