This role goes beyond traditional executive support. As EA to the CEO, you'll run the engine room of the CEO's day-to-day (calendar, travel, communications and admin) while also coordinating board-level engagements and stepping into business projects where you can add value. We're looking for someone with genuine curiosity about the business, who wants to learn how PropertyGuru operates and grow their scope over time, not just execute a fixed task list.
Proactively manage and coordinate the CEO's calendar, scheduling meetings, appointments, and travel arrangements, ensuring efficient use of time and resources. Anticipate scheduling conflicts and prioritise competing demands based on business impact, exercising judgement on the CEO's behalf.
Act as the primary point of contact between the CEO and internal/external stakeholders, managing correspondence, emails, phone calls, and messages in a timely and professional manner. Build working relationships with the CEO's direct reports, board members, investors and key external contacts so communications flow smoothly even when the CEO is unavailable.
Organise and prepare for meetings, including booking venues, arranging necessary equipment, preparing agendas, and distributing meeting materials. Take and distribute minutes and follow up on action items.
Coordinate the CEO's board and committee meeting calendar, working with board members' EAs to lock in dates well in advance. Manage all logistics for board engagements (travel, accommodation, venue, dial-in/video setup, and catering) for the CEO, visiting Board members and, where required, visiting directors.
Arrange and manage complex travel itineraries, including flights, accommodation, ground transportation, and travel-related documentation. Handle changes and adjustments as needed, often at short notice.
Prepare and edit documents, reports, presentations, and correspondence. Maintain organised files and records, both electronic and paper-based, ensuring confidentiality and security.
Track and reconcile expenses, prepare expense reports, and manage the approval process. Ensure compliance with company policies and procedures.
Participate in projects outside core EA duties where you can add value, spanning culture initiatives, offsites, town halls, or cross-functional work with the leadership team. Bring a genuine appetite to learn the business, PropertyGuru's markets, products and strategic priorities, so you can anticipate the CEO's needs rather than just react to them. Take on ad hoc pieces of work as they arise, with scope growing as trust and capability build over time.
Handle sensitive and confidential information including board, people and commercially sensitive matters with the highest level of discretion and integrity. Exercise sound judgement on what to elevate, what to handle independently, and what stays confidential.
