Employment Type: 4 Months Contract
About the Role
We are seeking a highly organised, proactive, and professional Executive Assistant to provide comprehensive administrative and operational support to the Director. The successful candidate will play a key role in ensuring the smooth running of the Director’s daily activities, managing priorities effectively, and acting as a trusted liaison between the Director and internal and external stakeholders.
Key Responsibilities
Executive Support
- Manage the Director’s calendar, appointments, meetings, and travel arrangements.
- Coordinate and prepare meeting agendas, presentation materials, reports, and briefing documents.
- Screen and manage incoming calls, emails, and correspondence on behalf of the Director.
- Take accurate meeting minutes and follow up on action items to ensure timely completion.
Coordination & Communication
- Serve as the primary point of contact between the Director and employees, clients, partners, and other stakeholders.
- Coordinate cross-departmental meetings and ensure effective communication of key decisions and updates.
- Maintain professionalism and confidentiality in all interactions.
Administrative & Operational Support
- Prepare reports, letters, memos, and other business documents.
- Organise and maintain confidential files, records, and documentation.
- Monitor deadlines, track ongoing projects, and provide reminders to the Director on outstanding matters.
- Assist in planning company events, management meetings, and business functions when required.
Project & Business Support
- Support the Director in special projects, research, data compilation, and business initiatives.
- Follow up with departments on project progress and consolidate updates for management review.
- Identify opportunities to improve administrative processes and workflow efficiency.
Requirements
- Diploma or Bachelor’s degree in Business Administration, Management, Human Resources, or a related field.
- 1–3 years of experience in an Executive Assistant, Personal Assistant, or senior administrative support role.
- Excellent organisational and time-management skills with the ability to manage multiple priorities.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and online collaboration tools.
- High level of discretion, integrity, and confidentiality.
- Ability to work independently, exercise sound judgment, and remain calm under pressure.

Working Hours
Monday to Friday, 10:00 AM – 7:00 PM
