About the Role

We are seeking a highly organised, meticulous and self-driven Events Executive to support the planning, coordination and execution of events and partnership initiatives.

The ideal candidate is someone who takes pride in delivering accurate, high-quality work, demonstrates a strong sense of responsibility and takes full ownership of assigned tasks from start to finish.

This role requires an individual who is resourceful, proactive and capable of working independently with minimal supervision. You should be able to manage multiple priorities, anticipate potential challenges, follow through on commitments and ensure that no details are overlooked.

Beyond completing assigned tasks, we value someone who demonstrates initiative, exercises good judgement and consistently delivers reliable results.

Key Responsibilities
1. Event Planning & Execution
  • Coordinate and execute various events, including parenting masterclasses, community events, brand activations and promotional initiatives.
  • Take ownership of assigned event workstreams, managing timelines, deliverables and coordination from preparation through to post-event completion.
  • Prepare, maintain and thoroughly review event briefs, run sheets, checklists, presentations, registration information and event materials to ensure accuracy and consistency.
  • Create, update and maintain event pages, ensuring all event information, including programmes, speakers, schedules, registration details and terms and conditions, remains accurate, complete and up to date.
  • Proactively ensure changes to event details are promptly reflected across event pages, marketing materials, registration platforms and relevant communication channels.
  • Conduct regular quality checks on published event information, registration links, event materials and participant communications to prevent discrepancies and misinformation.
  • Independently monitor event preparation progress, identify outstanding matters and take necessary action to ensure deadlines are met.
  • Support on-site event execution, proactively addressing issues and ensuring smooth coordination across stakeholders.
  • Complete post-event follow-ups, reporting and documentation within agreed timelines.
2. Task Ownership, Accountability & Project Coordination
  • Demonstrate a strong sense of ownership by independently managing assigned tasks from initiation to completion, including verification, follow-up and proper closure.
  • Proactively plan and prioritise work, manage deadlines and deliver assigned responsibilities with minimal supervision.
  • Take responsibility for ensuring all work is accurate, complete and delivered on time, without relying on repeated reminders or follow-ups from supervisors.
  • Maintain detailed and updated task trackers, ensuring outstanding items, deadlines and next steps are clearly documented and actively managed.
  • Anticipate potential issues, identify gaps and take initiative to resolve them before they affect project timelines or event execution.
  • Exercise sound judgement in resolving routine matters independently while escalating critical issues promptly with recommended solutions.
  • Conduct thorough self-checks before submitting or circulating materials, ensuring accuracy, completeness and consistency.
  • Take accountability for mistakes, implement corrective actions promptly and continuously improve work processes to prevent recurring errors.
  • Ensure proper handovers, documentation and closure of all assigned responsibilities.
3. Stakeholder & Partnership Coordination
  • Liaise independently with internal teams, speakers, vendors, clients and community partners to coordinate event requirements and deliverables.
  • Proactively follow up on outstanding information, materials, approvals and commitments to ensure timely completion.
  • Support the execution and fulfilment of brand partnership campaigns, sponsorship deliverables, product sampling and event activations.
  • Maintain accurate records of partner requirements, deliverables, quantities and timelines, ensuring commitments are fulfilled according to agreed specifications.
  • Review and verify information received from stakeholders to identify discrepancies or missing details before execution.
  • Maintain professional, clear and timely communication with stakeholders, ensuring alignment and proper follow-through.
4. Documentation, Quality Control & Reporting
  • Maintain accurate, organised and up-to-date event documentation, project trackers, schedules, budgets and reporting records.
  • Ensure all event materials, presentations, communications and documents are thoroughly checked before submission or publication.
  • Support the preparation of quotations, purchase requests, invoices and expense tracking with accuracy and proper documentation.
  • Compile event attendance, feedback, photographs and campaign results for post-event reporting.
  • Identify opportunities to improve workflows, checklists and processes to enhance efficiency and minimise errors.
  • Ensure assigned administrative and reporting responsibilities are completed independently within agreed deadlines.
Requirements
  • Diploma or degree in Events Management, Marketing, Communications, Business or a related discipline.
  • 1–2 years of relevant experience in event management, event coordination, marketing or project coordination.
  • Exceptional attention to detail, with a strong commitment to delivering accurate, complete and consistent work.
  • Strong sense of ownership and accountability, with the discipline to follow through on every assigned responsibility.
  • Ability to work independently with minimal supervision, demonstrating initiative and confidence in managing day-to-day tasks.
  • Excellent organisational and time management skills, with the ability to manage multiple priorities and deadlines effectively.
  • Proactive and resourceful problem‑solver who anticipates challenges and takes initiative to resolve issues.
  • Strong follow‑up skills, ensuring outstanding matters are actively tracked and completed without repeated reminders.
  • Reliable and conscientious, with a commitment to maintaining high standards and continuous improvement.
