Job summary

JLL Singapore is seeking an Event Coordinator to manage end-to-end event delivery, from requisition to post-event feedback, ensuring seamless operations across spaces such as Recreation Area, Auditorium and Hexagon Event operations.

You will coordinate logistics, liaise with organizers and vendors, update calendars, arrange manpower and equipment, and act as the point of contact during events, with opportunities to grow in a global real estate services firm.

Responsibilities

• Respond to event requisition from organizers
• Collate event logistics requirements
• Confirm event booking
• Update event calendar – Conduct daily checks
• Event spaces setup in accordance with event booking requests and specification: Recreation Area, Auditorium, Hexagon Event operations
• Before events: Ensure Event Schedule is updated at the end of every week (Friday), and flashed on Reception TV start of every week (Monday)
• Before events: Ensure space is available before committing
• Before events: Finalise event details and requirements with organiser
• Before events: Ensure sufficient manpower, operating equipment and/or furniture
• Before events: Create event visual for reception counter screen
• During events: Be point of contact for organisers and assist with any queries and/or requests
• After events: Prepare table/seating setup for next event
• After events: Reset table/seating setup for next day (ongoing event)
• After events: Send out Type Form survey to organiser(s) for feedback
• After events: Update event trackers/statistics
• Site Visits: Liaise with requestor
• Site Visits: Liaise with vendors/contractors
• Ad-hoc Services: Repair/Maintenance works – assist with repairs/replacement/maintenance of furniture and fixtures, and operating equipment
• Ad-hoc Services: Audio/Visual – assist with AV setup and/or troubleshooting in absence of AV technician
