About the role
We are looking for an Event Coordinator with a creative and digital focus to produce and manage the digital assets for a professional conference held from January 26–27 in Singapore. You will design marketing and on-site materials, keep the event website and social channels current, manage stage graphics and presentations, capture content on the day, and turn it all into a polished post-event report.
This role suits someone who enjoys both design and organisation. For the right person, there is the potential to move into a full-time role at the end of the contract.
Key responsibilities
Design and creative assets
- Design event collateral in line with the conference’s brand guidelines, including social media graphics, email banners, digital ads, speaker cards and sponsor announcements
- Produce on-site materials such as signage, backdrops, badges, stage graphics and holding slides, and prepare print-ready files for vendors
- Adapt key visuals across formats and platforms so branding stays consistent at every touchpoint
Event website and digital marketing
- Update the event website with speaker profiles, agenda changes, sponsor logos and news
- Plan, design and schedule social media content in the run-up to the event, including speaker announcements, countdowns and sponsor posts
- Build email campaigns, and proofread all copy, links, dates and session times before they go live
Speaker and sponsor assets
- Collect speaker and sponsor assets such as logos, headshots, bios and videos, and check they meet specifications and deadlines
- Track sponsors’ digital and branding entitlements, such as logo placements, social posts and email mentions, and confirm each one is delivered
Stage assets and presentations
- Collect, organise and version-control all presentations, videos and stage graphics
- Check files for format, branding and running order, and follow up on late submissions
- Prepare the final presentation pack for the AV team and manage last‑minute changes
Event-day content
- Capture photos, short videos and quotes on site for live social media coverage
- Work with the photographer and videographer on shot lists and key moments to capture
- Support the team on site with registration, speakers and delegate questions when needed
Post-event report and content
- Compile and design the post-event report, bringing together attendance figures, delegate feedback, website and social media analytics, sponsor delivery and event photography
- Prepare sponsor recap reports that show how each entitlement was delivered, with screenshots and photos as proof
- Edit highlight reels and post‑event social content, and organise and archive all photos, videos and design files
Requirements
Essential
- Diploma or degree in visual communication, design, marketing, communications, media or a related field, or equivalent work experience
- A portfolio of design work for digital and print, such as social media graphics, marketing collateral or presentations
- Proficient in Canva or Adobe Creative Cloud (Photoshop, Illustrator or InDesign)
- Strong written English, with a careful eye for detail in copy, layout and branding
- Highly organised, able to track many files, versions and deadlines at once
- Confident with PowerPoint and Excel, including building polished slides and simple data summaries for reports
- Available for the full contract period, including all event days and some long hours on site
Nice to have
- Experience updating a website through a CMS such as Wix or Framer
- Photography or short‑form video editing skills, using tools such as CapCut or Premiere Pro
- Experience running social media accounts, or using scheduling and analytics tools such as Meta Business Suite or Google Analytics
- Previous work at conferences, exhibitions or live events
- Comfortable using AI tools to draft content, develop visual concepts and work more efficiently
