Job summary

HEALTHWAY DENTAL PTE. LTD. is seeking a motivated and detail-oriented individual to support the daily business and operational activities of our Dental Division.

The role focuses on enhancing patient experience, coordinating with dentists, TPAs and insurers, and ensuring smooth administrative workflows across clinic locations. The candidate will assist in clinic operations, procurement, insurance claims, marketing campaigns, and reporting.

• Minimum 1 year of relevant experience in administrative and patient-facing roles.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
• Excellent communication, organizational, and multitasking abilities.

Responsibilities

• Support daily clinic operations and administrative activities to ensure smooth workflows.
• Assist with billing, invoicing, payments, doctors' locum claims and other operational matters.
• Coordinate with doctors, clinic teams and relevant stakeholders on operational requirements.
• Assist in addressing patient enquiries, feedback and service-related concerns, escalating complex matters where necessary.
• Coordinate with internal teams and vendors on system, equipment and technology-related requirements.
• Assist in sourcing consumables, obtaining quotations and coordinating procurement requirements.
• Raise Purchase Requisitions (PRs) and liaise with the Central Procurement team.
• Update and maintain Goods Received Note (GRN) records in the inventory system.
• Process monthly invoices and coordinate with the Finance department on payment and reconciliation matters.
• Assist with insurance and corporate billing arrangements, including TPA schemes, corporate health plans and Integrated Shield Plans.
• Prepare, submit and follow up on claims in accordance with insurer requirements and internal procedures.
• Coordinate with insurers, TPAs and relevant stakeholders to resolve billing and claims-related enquiries.
• Assist in coordinating digital marketing campaigns across platforms such as Google, Facebook and Instagram.
• Support social media content planning, preparation and posting, including coordination with dentists and clinic teams.
• Monitor incoming patient enquiries and assist clinic teams with appointment follow-ups.
• Maintain records of marketing enquiries, appointment bookings and campaign activities.
• Support promotional activities, patient engagement initiatives and local marketing efforts across clinic locations.
• Prepare and maintain Excel reports on monthly revenue, patient cases, clinic utilisation and operational performance.
• Assist in compiling marketing reports, including advertising expenditure, patient enquiries and appointment bookings.
• Support the tracking of marketing activities and provide relevant data for management review.
• Perform other duties as assigned to support clinic operations and business activities.
