Job summary

Gulf Asia-Pacific Pte. Ltd. is seeking an Operations Executive to support terminal, marine, and white-label logistics operations involving petroleum products, lube oils, and packaged goods in Singapore.

You will manage order execution, inventory, documentation, and billing, coordinating with terminals, barges, transporters, and customers while ensuring 24/7 operational coverage in a fast-moving environment with tight lead times and high service expectations.

Qualifications

• Diploma or Degree in Logistics, Maritime, Supply Chain, or Engineering.
• 2–5 years of experience in terminal, marine, or petroleum logistics operations in Singapore.
• Familiar with Singapore MPA regulations, Singapore Customs permit applications, and port operations.
• SAP experience (SD/MM modules) preferred; strong ERP literacy required.
• Knowledge of petroleum products: base oil, LSMGO, diesel, lube oil, packaged goods.
• Experience with barge coordination, shore tank operations, or oil terminal operations is a strong advantage.
• IBOB (In Bond / Out Bond) experience; cargo handling or OPL (Off Port Limits) delivery experience.

Responsibilities

• Execute customer orders and coordinate deliveries via terminal, barge, road tanker, and warehouse operations
• Manage daily operational activities for base oil, diesel, LSMGO, lube oil, and white label products
• Coordinate with terminal operators, loading masters, barge operators, transporters, and warehouse teams
• Support 24-hour operational coverage including after-hours coordination when required
• Act as key contact point for customer enquiries related to orders, deliveries, and schedules
• Monitor inventory levels across shore tanks and warehouse; ensure accurate stock reconciliation
• Track inbound and outbound base oil movements against delivery records; identify stock discrepancies
• Support IBOB record maintenance in coordination with SAP team
• Prepare and verify shipping, delivery, and commercial documents for all shipments
• Apply and manage export and import permits in compliance with Singapore Customs and MPA regulations
• Manage documentation for MPA water service, wharfage submissions, and port-related requirements
• Ensure all documentation is accurate and submitted within required timelines
• Handle operational billing including storage charges, handling charges, and related cost items
• Verify invoices from terminals, barges, and transporters against actual operations
• Flag billing discrepancies to Finance and Operations Manager for resolution
• Maintain accurate records in SAP and ensure master data is correctly set up for new products or customers
• Input goods receipts and issues for operational movements where required
• Support month-end reconciliation of operational records

Key Responsibilities

Order Execution & Marine Logistics

Inventory & Stock Management

• Monitor inventory levels across shore tanks and warehouse; ensure accurate stock reconciliation

Documentation, Permits & Compliance

• Prepare and verify shipping, delivery, and commercial documents for all shipments
