Job summary

HELLMANN WORLDWIDE LOGISTICS LLP in Singapore seeks an Operations Coordinator for Marine Solutions to manage daily orders, invoicing, and shipments. You will handle customer and partner queries, ensure timely billing and quoting, and maintain accurate records in the marine solutions portal.

You will drive process improvements, ensure regulatory compliance, and contribute to KPI attainment while collaborating on onboarding new Marine Solutions customers and participating in global calls.

Qualifications

• Handle daily operational activities of incoming and outgoing customer orders, including invoicing, billing, costing and quotes.
• Manage customer and overseas network partner queries.
• Close monitoring of shipments to ensure on-board deliveries and local pickups/deliveries are well managed.
• Update information, movement of cargo and inventory in the marine solutions portal.
• Ensure smooth running of all processes to achieve KPIs as set by HOD/Management and ensure customer satisfaction.
• Ensure compliance with established procedures and regulatory requirements.
• Prepare documents for billing and costing in a timely manner.
• Register service failures to drive work improvement.
• Assist in onboarding new Marine Solutions customers.
• Submit reports timely and update customer records for accuracy.
• Procure buy rates from vendors.
• Participate in global Marine Solutions conference calls.

Responsibilities

• Coordinate daily order processing and invoicing workflows for local and overseas customers.
• Track shipments and coordinate with partners to maintain on-time deliveries.
• Update marine solutions portal with cargo movements and inventory levels.
• Generate accurate billing, costing, and quotes and maintain customer records.

Job description

• Management of customers, overseas network partner queries and local queries.
• Close monitoring of shipments and to ensure on-board deliveries and all local pickup and deliveries are being managed in a smooth manner.
• Update of information, movement of cargo and inventory in the marine solutions portal
• Ensure smooth running of all job processes to achieve KPIs as set as by HOD and Management so as to ensure customer satisfaction.
• Ensure all key processes are carried out in accordance with established procedures and instructions in compliance with regulatory requirements.
• Ensure timely preparation of documents for billing and costing.
• Involvement with work improvement by registering service failures
• Assist in the implementation for new Marine Solutions customers
• Timely submission of reports as and where needed
• Adherence to the KPIs set as by the HOD and Management
• Ensure timely update of customer's records to ensure completeness and accuracy of Database
• Procurement of buy rates from vendor(s)
• Take part in regular global conference call dedicated to Marine Solutions business and participate actively in discussions
