Business Unit: Cubic Defense
Job Summary
Responsible for assisting Program Managers in executing multiple program tasks. Supports the program management staff in the preparation of deliverables, internal reports, briefings, and other requirements associated with the project being supported. This position typically works under general supervision and direction.
Essential Job Duties and Responsibilities
- Supports the administration of programs in accordance with the contract, policies, procedures and department instructions.
- Establishes and maintains folders and repositories ensuring document control and tracking.
- Assists program managers in ensuring contracts are met in the most efficient and profitable manner.
- Supports program execution to meet technical performance within cost and schedule.
- Monitors all elements of the assigned program activities from inception to completion, which may include proposal development, product design, procurement, subcontracting, testing, delivery, installation and acceptance of products and/or services.
- Performs financial management tasks such as invoice generation, preparation of information for the cost estimation team and SAP administration.
- Reports on risk management to identify risk reduction on assigned programs and escalates issues to program management with sufficient lead time for resolution.
- Supports proposal development, statements of work, specification development and major subcontract management.
Program Manager Support Tasks
- Monthly status reports.
- Liaises with other company support groups.
- Prepares Program Management Review (PMR) slides.
- Provides meeting logistical support, including agenda development, phone contacts, meeting minutes and action item tracking.
- Ensures early or on‑time delivery of all required project/program documentation (CDRLs, etc.).
- Monitors program Action Item (AI) lists and supports timely completion of open AIs.
General Duties and Compliance
- Comply with Cubic’s Quality Management System.

- Comply with security in accordance with established policies and procedures of the organization.
- Comply with Cubic Human Resources procedures.
Minimum Job Requirements
- Certificate/Diploma in Project Management or related discipline, or equivalent experience.
- 4–6 years of experience performing project administrative/coordination duties.
- Experience of demand management and schedule management.
- Experience working with SAP.
- Strong knowledge of project management processes and tools.
- Skilled user of SharePoint, MS Project and MS Office (Word, Excel, PowerPoint).

Condition of Employment
Successful outcome of a National Police Check is required.
