Job Summary
We are seeking a highly organised, commercially minded, and detail-oriented Bid Manager to lead / Bid Executive to support the firm's tender and proposal activities for architectural and multi disciplinary consultancy projects in Singapore.
The Bid Manager/ Bid Executive will handle the end-to-end bid process, from identifying and assessing tender opportunities through to submission and post-bid evaluation.
Key Responsibilities
Bid & Tender Management
- Handle the end-to-end preparation and submission of architectural consultancy bids, tenders, RFPs, RFQs, and EOIs.
- Monitor relevant tender opportunities and assess their strategic and commercial suitability.
- Review tender documents, scope of services, submission requirements, evaluation criteria, fee requirements, and contractual conditions.
- Ensure submissions are complete, accurate, compliant, and submitted on time.
For Bid Manager:
- Coordinate bid/no-bid discussions with Directors and relevant stakeholders.
- Develop bid programmes, submission schedules, responsibility matrices, and compliance checklists.
- Lead bid kick-off meetings and internal review sessions.
- Manage multiple bids concurrently while maintaining high-quality standards.
Proposal Development
- Work with Directors and Project Architects to articulate the firm's design philosophy, project approach, and key differentiators.
- Compile tender submission documents (project sheets, portfolios, case studies, CVs, credentials, awards, company information etc.)
- Edit and proofread submissions for accuracy, clarity, consistency, and quality.
For Bid Manager:
- Develop technical proposals, methodologies, executive summaries, and project approaches.
- Develop and maintain proposal templates, project databases, and reusable bid content.
- Ensure proposals have a clear narrative, professional presentation, and strong visual impact.
- Coordinate with graphic designers on layouts, diagrams, graphics, and presentation materials.
Commercial & Fee Proposals
- Coordinate with Directors and project teams on consultancy fee proposals.
- Assist in preparing fee breakdowns, resource schedules, and commercial documentation.
- Obtain fee proposals from sub-consultants as required.
For Bid Manager:
- Ensure fee proposals align with the scope of services and tender requirements.
- Identify commercial risks, assumptions, exclusions, and clarification points.
- Coordinate responses to technical and commercial clarifications.
Stakeholder Management
- Work closely with Directors, Associates, Project Architects, Designers, and technical consultants to obtain bid information.
- Coordinate inputs from multidisciplinary consultants and external partners.
For Bid Manager:
- Liaise with clients and procurement representatives on bid-related matters.
- Support tender interviews, presentations, and clarification meetings.
Business Development
- Maintain a pipeline of upcoming architectural and consultancy opportunities.
- Monitor market trends, competitors, major developments, and potential clients.
- Maintain databases of project experience, client references, consultant networks, and credentials.
- Prepare capability statements, corporate presentations, and business development materials.
- Track bid outcomes and maintain win/loss records.
- Conduct post-bid reviews and recommend improvements to future submissions.
Requirements
- Diploma or Degree in Architecture, Business, Marketing, Communications, Project Management, or a related discipline.
- Minimum years of relevant experience in bid management, tender management, proposal management, business development, or marketing.
- Bid Manager - 5 years
- Bid Executive - 3 years
- Experience in an architectural consultancy, engineering consultancy construction, or professional-services firm is preferred.
- Good understanding of architectural consultancy services and project delivery.
- Experience preparing submissions for private-sector and/or public-sector projects in Singapore.
- Excellent written and spoken English.
- Strong proposal-writing, editing, and presentation skills.
- Excellent project management and stakeholder coordination skills.
- Strong attention to detail and ability to work under tight deadlines.
- Proficient in Microsoft Word, PowerPoint, and Excel.
- Knowledge of Adobe InDesign, Illustrator, Photoshop, or similar software is an advantage.
