Job description

Role Overview

The Assistant Project Manager (APM) will support the Project Manager and Director in the planning, coordination and delivery of construction and interior renovation projects.

This is not purely an administrative or coordination role. The APM will be expected to take ownership of assigned work packages and project activities, coordinate subcontractors and suppliers, monitor site progress and proactively resolve day-to-day project issues.

The successful candidate should be comfortable working between the office, project sites, consultants, designers, subcontractors and suppliers.

Key Responsibilities
1. Project Planning & Management
  • Assist the Project Manager in developing and maintaining the overall project programme.

  • Break down the master programme into short-term and weekly work plans.

  • Monitor project progress against programme and identify potential delays or constraints.

  • Coordinate the sequencing of different trades to minimise clashes and disruption.

  • Track key project milestones, approvals, procurement dates and completion requirements.

  • Prepare progress updates and highlight critical issues requiring management attention.

  • Take ownership of assigned work packages from commencement through completion.

2. Site & Construction Coordination
  • Carry out regular site inspections and monitor daily construction progress.

  • Coordinate subcontractors, tradesmen and suppliers to ensure works proceed according to programme.

  • Ensure subcontractors have the necessary drawings, materials, access and information to carry out their works effectively.

  • Coordinate work areas, material storage, site logistics and movement of trades where necessary.

  • Identify site constraints and resolve day-to-day coordination issues.

  • Check completed works against drawings, specifications and approved design intent.

  • Monitor workmanship and highlight quality issues requiring rectification.

  • Coordinate inspections, testing, defect rectification and project close-out activities.

  • Maintain proper site records, photographs and progress documentation.

3. Design & Technical Coordination
  • Work closely with the Interior Designer, consultants and subcontractors to coordinate construction information.

  • Review drawings and identify discrepancies, missing information and potential buildability issues.

  • Coordinate RFIs and technical clarifications with the relevant parties.

  • Ensure that the latest approved drawings are properly distributed and used for construction.

  • Assist with reviewing shop drawings, material submissions, samples and mock-ups.

  • Verify critical site dimensions before materials or fabricated items are ordered.

  • Coordinate interfaces between architectural, interior, structural, M&E and specialist works.

  • Work with the design team to translate design intent into practical and buildable solutions.

4. Procurement & Material Coordination
  • Assist in preparing procurement schedules based on the project programme.

  • Identify long-lead items and ensure procurement activities commence sufficiently early.

  • Obtain and coordinate quotations from subcontractors and suppliers.

  • Assist with quotation comparisons and recommendations.

  • Follow up on material selections, approvals, orders, fabrication and delivery.

  • Coordinate with local and overseas suppliers where required.

  • Monitor delivery schedules and ensure materials arrive in accordance with construction requirements.

  • Check deliveries against orders and report discrepancies or damaged items.

  • Coordinate storage and protection of materials on site.

5. Subcontractor & Supplier Management
  • Coordinate and follow up closely with subcontractors and suppliers.

  • Ensure subcontractors understand their scope, programme and required completion dates.

  • Monitor subcontractor manpower and progress.

  • Identify underperformance and escalation issues where necessary.

  • Coordinate interfaces between different subcontractors and trades.

  • Maintain professional working relationships while ensuring commitments and deadlines are met.

6. Quality, Safety & Handover
  • Monitor the quality of completed works and ensure defects are addressed promptly.

  • Ensure subcontractors observe applicable site safety requirements and Company procedures.

  • Assist with preparation of defect lists and completion inspections.

  • Coordinate testing, commissioning and rectification works where applicable.

  • Assist in compiling handover documents, warranties, manuals and as-built information.

  • Drive outstanding works towards practical completion and final handover.

Requirements
  • Diploma or Degree in Building, Construction Management, Project Management, Civil Engineering, Architecture, Quantity Surveying or related discipline.

  • Approximately 3–5 years of relevant experience in construction, interior fit-out, renovation or related industries is preferred for the Assistant Project Manager position.

  • Candidates with less experience are also encouraged to apply and may be considered for the position of Project Coordinator, with opportunities to progress into an Assistant Project Manager role as they gain the necessary experience and demonstrate their ability to independently manage project responsibilities.

  • Fresh graduates with relevant construction/site exposure and a strong willingness to learn may also be considered for the Project Coordinator position.

  • Experience in residential, landed housing, A&A or interior fit-out projects would be advantageous.

  • Good understanding of construction methods, sequencing and site coordination.

  • Able to read and understand architectural, interior design and basic M&E drawings.

  • Familiar with project programmes, procurement schedules and progress tracking.

  • Basic commercial and quantity surveying knowledge would be advantageous.

  • Proficient in Microsoft Excel, Word and PowerPoint.

  • Familiarity with AutoCAD, Microsoft Project or other project management software would be advantageous.

  • Good written and spoken English.

What We Are Looking For

We are looking for someone who wants to develop beyond project coordination and progressively become capable of managing projects independently.

The ideal candidate should be:

  • Hands-on – willing to go to site and understand what is actually happening.

  • Proactive – identifies problems early rather than waiting for instructions.

  • Organized – able to manage multiple subcontractors, deadlines and outstanding matters.

  • Resourceful – able to find practical solutions to site and coordination problems.

  • Firm but fair – capable of managing subcontractors and driving commitments.

  • Commercially aware – understands that project decisions affect cost as well as programme and quality.

  • Detail-oriented – able to identify discrepancies between drawings and actual site conditions.

  • Responsive – understands that unresolved issues can quickly affect construction progress.

  • Accountable – takes ownership of assigned responsibilities and follows them through to completion.

  • Team-oriented – able to work closely with design, QS, procurement and construction personnel.
