We are looking for a proactive and organised Assistant Manager / Executive, Office Administration to join us on a 4-month temporary contract, supporting office space planning, retail management, estate operations, procurement and improvement projects within the hospital campus ~
Key Responsibilities
Office Space Management
- Manage day‑to‑day office operations, including seating arrangements, meeting rooms, AV systems and staff pantry facilities.
- Liaise with Facilities Management teams on office maintenance and related operational matters.
- Coordinate and support office relocation, renovation and space planning projects.
- Review existing processes and workflows to ensure compliance with government and hospital standards and guidelines.
- Identify areas for improvement and recommend practical solutions.
- Support the setup and procurement activities for the upcoming TTSH Pavilion building.
Retail Management
- Manage tenancy‑related matters, including monitoring occupancy and rental information.
- Compile and maintain occupancy and rental reports and support lease management activities.
- Liaise with internal stakeholders, tenants and external parties to gather feedback and resolve issues.
- Support initiatives to enhance retail services and improve user experience.
- Work with relevant stakeholders and government agencies to implement new retail initiatives and technologies.
Estate Management
- Oversee hospital campus amenities and coordinate the procurement of furniture, equipment and other facilities‑related items.
- Work with internal stakeholders to coordinate maintenance schedules and requirements.
- Support various operational and improvement projects.
- Perform other ad‑hoc duties and projects as assigned.
Requirements
- Minimum Diploma or Degree in Business Administration, Business Management, Facilities Management, Hospitality Management, Real Estate, Property Management or other relevant disciplines.
- Candidates with 1–2 years of relevant experience in office administration, facilities management, space planning, retail/tenancy management or project coordination are preferred.
- Strong interpersonal and stakeholder management skills.
- Good organisational and problem‑solving abilities.
- Proficient in Microsoft Office, particularly Excel and PowerPoint.
- Able to manage multiple tasks and work effectively with internal and external stakeholders.
- Proactive, independent and detail‑oriented.
