Job summary

Ascentium in Singapore is seeking a high-calibre Assistant Manager to lead and optimise our Singapore corporate services portfolio. You will hold a macro, strategic view of the client base, act as the primary technical and management anchor, and oversee workflows while allocating resources to maximise efficiency.

The role includes corporate secretarial advisory, onboarding, KYC, and cross-border collaboration with legal counsels and regional teams.

Qualifications

Responsibilities

  • Own and manage an assigned portfolio of Singapore and offshore entities as corporate secretary advisor.
  • Lead end-to-end execution of complex client requests and statutory compliance.
  • Balance and allocate internal resources, directing tasks to Senior Administrators when appropriate.
  • Drive onboarding, corporate changes (AGMs, ARs, officers), and KYC processes.
  • Collaborate with legal counsels, intermediaries, compliance teams and regional colleagues.

About the role

We are seeking a high-calibre, commercially astute Assistant Manager to lead and optimise our Singapore corporate services divisions. In this strategically elevated role, you will hold a macro, high-level view of our Singapore/offshore company portfolio. You are required to act as the primary technical, management and strategic anchor for a sophisticated client base (including law firms, regulated trustees, external auditors and the private wealth sector). You will oversee the workflow, masterfully balance and allocate internal resources and contribute directly to the firm's overarching growth strategy. Some business development initiatives/activities shall be part of your job scope. There may be overseas business trips involved.

What you’ll be doing
  • Client Account Ownership: Take immediate, hands-on ownership of an assigned portfolio of Singapore and offshore entities, serving as their main point of contact and trusted corporate secretarial advisor.
  • End-to-End Execution: Personally manage and execute complex client requests, corporate structuring, and high-level advisory for your own portfolio, ensuring flawless statutory compliance.
  • Resource Allocation & Delegation: Monitor overall team capacity, dynamically delegate tasks and identify which specific team members (such as the Senior Administrator) are most appropriate for a task to ensure resources are optimised.
  • Routine Secretarial Requests: Direct and execute routine corporate changes, including but not limited to Annual General Meetings (AGMs), filing of Annual Returns (AR) and updating changes in officers' particulars or company structures.
  • Onboarding Matters: Drive the new company incorporation and onboarding process, ensuring it is conducted to the required corporate standards.
  • Compliance & KYC: Maintain a strong familiarity with general compliance and Know-Your-Customer (KYC) matters; ensure all related onboarding documentation and forms are complete, accurate and finalised in coordination with clients.
  • Systems & Documentation Optimisation: Review, understand, and seamlessly implement internal system updates, workflow modernisations and corporate documentation changes to enhance team efficiency.
  • Cross-Border Collaboration: Actively liaise with stakeholders including legal counsels, professional intermediaries, compliance teams and regional colleagues globally to ensure smooth service delivery.
  • Company Secretary and Qualified Individual (QI) Representation: Act or qualify to act as a Named Secretary/ QI for local entities as required under ACRA guidelines.
  • Business Development: To initiate and cross sell other lines of businesses within the Group.
What you'll bring
  • Experience & Education: Holds a university degree in relevant field with extensive experience in corporate services or corporate secretarial administration within Singapore, with a proven track record of handling diverse and demanding institutional client profiles.
  • Jurisdictional Expertise (Singapore Focus): Has a deep, practical understanding of the Singapore Companies Act and ACRA regulations. Capable of independently advising global clients on statutory compliance, timelines and execution.
  • Portfolio & Management History: Demonstrated history of managing your own client accounts end-to-end, combined with extensive managerial experience managing teams and mentoring staff to their fullest potential.
  • Professional Credentials: Possession of a valid Chartered Secretary license (or equivalent professional qualification allowing you to register as a Qualified Individual/ Named Secretary with ACRA).
  • Core Skills: Excellent verbal and written English communication skills, highly proficient in MS Office.
  • Adaptability & Systems Management: Proven ability to review, analyse and efficiently implement both system and documentation changes as required.
  • Strategic Contribution & Leadership: Proactively contributes to the formation and implementation of firm-wide strategy, inspires teams and develops tailored strategic solutions for complex matters.
