Qualifications

• 1–3 years in events, operations, or logistics coordination.
• Comfortable with fieldwork — on-site event days, early mornings or weekends.
• Strong organizational skills — can run a checklist under time pressure without dropping details.
• Clear, calm communicator with manpower on the ground and clients when plans change.
• Working comfort with AI tools for drafting documents, checklists, and coordination messages.

Responsibilities

• Manpower coordination — source, confirm, and schedule staff per event; arrange replacements when needed.
• Pre-event briefings — brief assigned staff on event scope and client expectations.
• Site recce — visit venues to confirm layout, access, power/AV, parking, and issues.
• Packing lists — draft and maintain accurate, event-specific packing lists; verify items.
• On-ground event lead — act as the point of contact on event day; manage setup, staff, and timeline.
• Client expectation management — keep client informed of logistics and risks; flag scope creep early.
• AI-assisted workflows — use Claude or similar AI tools for drafting documents and updates.
• Logistics management — own transport, storage, and equipment movement for events.
• Administrative support — data entry, filing, follow-up emails to keep team unblocked.
