Job summary

OpenAI is seeking a Singapore-based Events Coordinator for a full-time, six-month contract to support planning and delivery of OpenAI events. You will handle guest communications, registrations and on-site logistics under the APAC Events lead and Event Manager.

Based in Singapore, you will work from the office at least three days per week with occasional APAC travel; you’ll assist with timelines, budgets and vendor coordination while ensuring high-quality experiences aligned with OpenAI’s

Qualifications

• 2+ years of experience supporting complex events at a regional company.
• Experience using Swoogo or a similar event registration platform.
• Strong organisational skills with attention to detail and project tracking.

Responsibilities

• Coordinate guest lists, invitation tracking and RSVPs.
• Maintain registration forms, event landing pages and guest emails in Swoogo.
• Coordinate employee travel, hotel blocks, event comms and on-site schedules.
• Support on-site registration, badge printing and guest flow; escalate issues as needed.
• Coordinate logistics with venues, caterers, AV providers and agencies.
• Maintain timelines, checklists, notes and action trackers; flag delays.
• Track quotes, purchase requests, invoices and expenses for review.
• Support security and accessibility arrangements, collect feedback and post-event reporting.
