Job description

We are looking for a friendly and organised Administrative Officer to support the daily operations of our Tampines centre. This role plays an important part in ensuring smooth administrative processes, accurate financial records, and a supportive environment for staff, clients, and families.

What You’ll Do
  • Receive, record, and issue receipts for school fees (including GIRO), donations, and other income.

  • Handle banking matters and petty cash, including claims, top-ups, and monthly reports to HQ.

  • Maintain accurate records of clients’ monthly fee payments.

  • Prepare monthly financial and fee-related reports.

  • Issue reminder letters for outstanding fees.

  • Prepare payment vouchers (PVs) and supporting documents.

  • Monitor staff leave (annual, medical, and other leave).

  • Support staff training bookings and maintain attendance records.

  • Assist staff with medical and dental claims.

  • Support onboarding of new staff, including preparation of staff passes and uniforms.

  • Open and lock the office and DAC.

  • Answer and transfer phone calls professionally.

  • Manage incoming and outgoing mail.

  • Monitor, order, and purchase office and household supplies.

  • Maintain accurate records such as staff attendance, client databases, fee records, and centre assets.

  • Support lunch arrangements when cooks are on leave.

  • Assist with centre programmes, activities, special events, and approved visits.

  • Ensure compliance with NEA Environmental Sanitation Regime (ESR) using monthly checklists.

  • Liaise with cleaning services to maintain a clean and safe environment.

  • Provide administrative support to HQ and DAC when required.

  • Carry out other administrative or ad‑hoc duties as assigned.
