ENGIE Services Singapore is seeking an organized Administrative Specialist to support the site team and HR with daily tasks, CMMS processes, and document control.
You will handle attendance reporting, PR/billing, petty cash, and coordination with Finance and Site Manager. The role requires independent work, strong teamwork, and safe, compliant operations across facilities in Singapore.

Responsibilities:
Submit daily staff attendance reports to the client, including updates on staff leave status
Collaborate closely with the client’s administrative team to carry out assigned administrative duties
Raise Purchase Requisitions (PR) and Billing Advice through the CMMS system
Handle petty cash claims and related documentation
Coordinate with Finance and the Site Manager on aging reports and claims follow-up
Work closely with site engineers, supervisors, and managers to monitor Purchase Order (P.O.) and Quotation (QB) status and maintain updated records in the database
Provide administrative support to the site team and HR department, including staff pass renewals and training reminders
Maintain proper filing and documentation of records and reports
Any other duties as and when assigned
Requirements:
Diploma qualification in any discipline
Minimum 2 years of relevant administrative experience, preferably in facilities management or healthcare environment
Good organizational, communication, and problem-solving skills
Proficient in Microsoft Office applications, especially Excel and Word
Familiarity with CMMS systems will be an added advantage
Able to work independently and manage multiple tasks effectively
Possess a positive attitude, strong teamwork, and good interpersonal skills
Has a good safety mindset and displays good WSH behaviour
