Responsibilities
Project Administration
  • Provide administrative and coordination support to project teams.
  • Maintain project documentation, records, contracts, and correspondence.
  • Prepare, process, and track purchase orders, supplier invoices, and payment submissions.
  • Update and monitor project progress schedules, milestones, and deliverables.
  • Assist in preparing progress reports, variation orders, and project claims documentation.
  • Coordinate site meetings, record minutes, and follow up on action items.
  • Track material deliveries, verify quantities, and liaise with suppliers and subcontractors.
  • Assist in preparing CAD drawings, technical documents, and submission packages for approvals.
  • Conduct quality checks, inspections, and follow up on defect rectifications.
  • Support cost tracking, budgeting, and project resource allocation.
  • Ensure compliance with workplace safety regulations and coordinate permits/submissions to authorities.
HR & Worker Administration
  • Maintain attendance and employment records of foreign workers.
  • Assist with work pass applications, renewals, and dormitory arrangements.
  • Facilitate onboarding and offboarding processes.
Accounts & Office Administration
  • Perform basic data entry for Accounts Payable (AP) and Accounts Receivable (AR).
  • Prepare and issue purchase orders, delivery orders, and invoices.
  • Maintain company asset records and insurance documentation.
  • Manage office supplies, filing, and general administrative duties.

Perform any other ad hoc duties as assigned by the Project Manager or management.
