Job summary

Waters is seeking a Tender Specialist to support tender, contract, and quotation activities across the Nordic and Benelux regions during a business transition. You will work with commercial teams, tender teams, and SMEs to ensure compliant, accurate submissions while contributing to AI-enabled tender initiatives.

The role is a two-year fixed-term contract, with a hybrid work model in Stockholm, Sweden, combining in‑office collaboration with remote work flexibility.

Qualifications

  • Experience in tender management, bid coordination, contract administration, sales support, or related commercial operations.
  • Understanding of tender requirements, commercial contracts, and e-procurement platforms.
  • Strong analytical skills, attention to detail, and comfort with data and systems.
  • Proficiency with Microsoft Excel and experience using ERP/CRM or tender management systems such as SAP, Salesforce, or similar tools.
  • Ability to adapt to a changing environment and manage competing priorities.
  • Strong communication skills in English and Swedish; Finnish is a plus.

Responsibilities

  • Coordinate tender, contract, and quotation activities across the Nordics and Benelux, considering local market needs.
  • Maintain tender, contract, and quotation records in internal systems.
  • Monitor tender opportunities and coordinate inputs from relevant teams for timely submissions.
  • Prepare, review, and submit tender documentation in line with customer requirements and governance.
  • Respond to tender inquiries and collaborate with SMEs for accurate information.
  • Maintain customer master data and handle related requests.
  • Support business continuity, integration efforts, and knowledge transfer during the transition.
  • Contribute to the AI tender management project through testing and feedback.

Job Description

We are looking for a Tender Specialist to support tender, contract, and quotation activities across the Nordic and Benelux regions during an exciting business transition at Waters. In this role, you will help ensure continuity while processes, systems, and ways of working evolve, acting as a trusted point of expertise for tender management and commercial operations.

You will work closely with commercial teams, tender teams, and subject matter experts across multiple countries to coordinate tender activities, maintain compliance, and support successful submissions. Alongside day-to-day tender management responsibilities, you will contribute to integration initiatives, process improvements, and an AI-enabled tender management project.

This is a two-year fixed-term contract running through September 2028. While there may be an opportunity for the role to become permanent in the future, this cannot be guaranteed and will depend on business needs. The position is based in our Stockholm office, conveniently located near the Karolinska Institute, and follows a hybrid working model that combines in‑office collaboration with remote working flexibility.

Responsibilities
  • Coordinate tender, contract, and quotation activities across the Nordics and Benelux while considering local market and customer requirements.
  • Maintain tender, contract, and quotation records and ensure information remains accurate within internal systems.
  • Monitor tender opportunities and coordinate required inputs from relevant teams to support timely and accurate submissions.
  • Prepare, review, and submit tender documentation in line with customer requirements, internal governance, and compliance standards.
  • Respond to tender and contract‑related inquiries and collaborate with subject matter experts to provide accurate information.
  • Maintain customer master data and manage related internal and external requests.
  • Support business continuity, integration activities, and knowledge transfer throughout the transition period.
  • Contribute to the AI tender management project through testing, process expertise, and user feedback.
Preferred Requirements
  • Experience in tender management, bid coordination, contract administration, sales support, or a related commercial operations function.
  • Understanding of tender requirements, commercial contracts, and e‑procurement platforms.
  • Strong analytical skills, attention to detail, and confidence working with data and systems.
  • Proficiency with Microsoft Excel and experience using ERP, CRM, or tender management systems such as SAP, Salesforce, or similar tools.
  • Ability to work effectively in a changing environment, manage competing priorities, and maintain high levels of accuracy.
  • Strong communication skills in English and Swedish and willingness to collaborate with colleagues across the Nordic and Benelux regions. Finnish is an additional benefit.

For this position, the expected base salary ranges from 35,000 to 45,000 SEK per annum. This reflects a more accurate range than the broader salary band indicated at the end of the job advertisement. The role also includes additional benefits, including an annual bonus.
