Vantive is seeking a Contract Specialist in Kista, Stockholm, Sweden, with a hybrid work model. The role focuses on public procurement, tender management, and contract administration across the Nordics.

You will ensure high-quality tender submissions, manage processes, and drive efficiency while collaborating with multiple teams across borders. The ideal candidate has strong experience in tender management, contract management, and procurement, plus fluency in Swedish and English.

Qualifications

  • Experience in Tender Management, Contract Management, Public Procurement, Customer Service, or related fields.
  • Strong understanding of tender lifecycle management and procurement processes.
  • Excellent organisational skills and ability to manage multiple deadlines.
  • Attention to detail with a track record of high-quality work.
  • Analytical and problem-solving abilities; proficient in Excel.
  • Experience in Medical Device, Healthcare, Pharma, or Life Sciences is advantageous.
  • Fluent in Swedish and English; Danish/Norwegian are a plus.

Responsibilities

  • Support and guide the business through public procurement and tender processes.
  • Review tender opportunities, requirements, specs, and submission criteria.
  • Coordinate preparation and submission of compliant tender responses.
  • Manage tender and contract documentation, databases and reporting.
  • Provide pricing analyses, commercial comparisons, and bid/no-bid recommendations.
  • Collaborate with Commercial, Technical Services, Customer Services, Finance and others.
  • Identify opportunities to improve processes and efficiency across the organisation.
  • Utilise digital tools and AI-enabled solutions to boost productivity.

At Vantive, we're building the future of healthcare and looking for a motivated Contract Specialist to join our Nordic Tender Excellence team.

This is an exciting opportunity for someone with experience in public procurement, tender management, or contract administration who enjoys working in a collaborative and fast-paced environment. You will play an important role in supporting our commercial success by ensuring high-quality tender submissions, managing contract processes, and helping drive operational excellence across the Nordic region.

We offer a flexible working model, combining collaboration in our Kista office with the flexibility to work remotely.

What You'll Do

As our Contract Specialist, you will:

  • Support and guide the business throughout the public procurement and tender management process.
  • Review tender opportunities, requirements, technical specifications, and submission criteria.
  • Coordinate the preparation and submission of compliant, high-quality tender responses within strict deadlines.
  • Manage tender and contract documentation, databases, and reporting activities.
  • Provide pricing analyses, commercial comparisons, and bid/no-bid recommendations to support decision making.
  • Collaborate closely with Commercial, Technical Services, Customer Services, Finance, and other key stakeholders.
  • Identify opportunities to improve processes, increase efficiency, and share best practices across the organisation.
  • Utilise digital tools and technologies, including AI-enabled solutions where appropriate, to support productivity and continuous improvement.
What You'll Bring

Experience & Expertise

  • Experience in Tender Management, Contract Management, Public Procurement, Customer Service, Commercial Operations, or a related field.
  • Good understanding of public procurement processes and tender lifecycle management.
  • Strong organisational skills with the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and commitment to delivering high-quality work.
  • Strong analytical and problem-solving skills.
  • Advanced Microsoft Office skills, particularly Excel.
  • Experience within the Medical Device, Healthcare, Pharmaceutical, or Life Sciences industry is advantageous.

Language Skills

  • Fluent in Swedish and English.
  • Danish and/or Norwegian language skills would be considered an advantage.

Technical Skills

  • CRM systems (Salesforce preferred)
  • ERP systems (JDE preferred)
  • Pricing and tender management tools
  • Reporting and analytical tools
