Job summary

Malina is seeking a Production Planner to join the production team in Stockholm. You’ll link development, suppliers, and logistics to ensure on-time, high-quality production while aligning with Malina’s DNA of design and quality.

You’ll work with a small, dedicated team and international partners to maintain a smooth, responsible production flow. You will manage timelines, supplier coordination, ERP/Centra orders, master data, and sustainability documentation, reporting to Head of Production.

Qualifications

• 5+ years of experience in production planning, supply chain, or similar roles.
• Proficient in Excel; experience with ERP/PLM systems.
• Experience working with both DTC and Wholesale timelines.
• Technically proficient and good at data analysis.
• Structured, detail-oriented, and organized.
• Good written and verbal English is a must; strong cross-functional collaboration.

Responsibilities

• Production planning: manage seasonal and ongoing bulk production timelines from development handover to delivery.
• Coordinate supplier coordination for Tier 1 and 2 suppliers; monitor status, capacity, and delivery schedules.
• Place bulk orders in ERP/Centra for pre- and normal orders.
• Track production progress and coordinate with logistics for on-time delivery; manage shipment tasks and schedules.
• Maintain master data; ensure accurate information across PLM and ERP systems.
• Own trims and packing instructions; manage material flow and stock to ensure production readiness.
• Negotiate bulk production prices with suppliers alongside Head of Production.
• Conduct buying and sales analyses to optimize stock and avoid over/under stock.
• Sustainability administration: work with sustainability strategy and data.

Responsibilities

• Productionplanning:manage seasonal and ongoingbulkproduction timelines, together with Head ofProduction, ensuring clear planning from development handover to delivery.
• Ownandhandle suppliercoordination for Tier 1and2 suppliers and act as the day-to-day contact for suppliers and factories, following up on production status, capacity, and delivery schedules.
• Placement of bulk orders in the ERP/Centra for bothpreandre-orders.
• Deliverytrackingandplanning:track and driveproduction progressto secure on-timedelivery.Manage shipmenttasks,schedulesandspecial requestsin collaborationwithlogistics, and delivery accuracy to ensuretimelyarrival of goods to warehouse or distribution partners.
• Continuous updating of delivery master file,BCand shipping filesto ensure updated information is available for the whole company.
• Own trims and packing instructions towards suppliers. Manage material and trims flow, including booking, tracking of orders and deliveries, and consumption to ensure production readiness and avoid delays. Contribute to stock and deadstock management.
• Price negotiations:discussion with suppliersregardingbulk production price negotiations based on surcharge or large orders both on a Tier 1 and Tier 2 level, together with theHoP.
• Buying analysisaccording to given seasonalbudgets, together withControllerandHoP.
• Sales analysis:analysis of weekly, and monthly sales trends and suggestactions based on collected data, together with theHoPandcontroller.EnsuringMalina’sNOOSassortment is never out of stock or over-stocked.
• Systemmaintenance:dailymaintenanceand gathering of information in PLM and ERP systems to ensure constantlyupdated andaccurateinformation. Transfer of information from PLM toBCandCentra. Make sure any changes after import areaccurateand updated throughout all other systems.
• Information flow:ownershipandmaintenance ofmaster data, including product descriptions from production which is usedcompany-wide.Ensure that all parts of the company receiveaccurateandtimelyinformationregardingcollections and deliveries.
• Responsible forfitting and making commentsandmeasurementlists of all samples from PPSandQC.
• Care labelandinstructions management and confirmation in respective systems.
• Manage andmaintainproduct data,includingTARIC,EANandHS codes,for each newproductandcollection.
• Follow up onclaims withsuppliers.
• Product qualityandcompliancefollow-up.Confirmation of bulk fabric swatches, wearandwash tests, chemical testing etc.
• Sustainabilityadministration:work with the company sustainability strategy, including options for more sustainable materials, efficient certificate management.Maintain sustainability information for internal and external use.

About you

• 5+ years of experiencein production planning, supply chain, or similar roles (preferably within fashion or textiles)
• Proficient in Excel.Experience with Business CentralERP,DeloguePLM, Centrais a plus.
• Experience inworking with both DTC and Wholesale timelines and requirements.
• Technicallyproficientand good at data analysis
• Structured, thorough,detail-oriented, and naturally organized
• Comfortable balancing multiple timelines and priorities
• A clear communicator who builds strong relationships across teams and cultures
• Proactive and solution-driven, with a calm approach to challenges
