Job description

About the Role

At Happy Socks, our product is our pride and joy. We design, develop, test, learn, and produce unmistakably on-brand products to a high standard. We have a lean team of knowledgeable, motivated experts, and we thrive in a high-energy, fast-paced environment where agility, ownership, and adaptability is everything. As our Product Development Coordinator, you are the vital administrative engine and \"connective tissue\" bridging our Product Developers (PD), Buyers, Design, Logistics, and Finance teams.

This role is built for someone with incredible attention to detail, a passion for retail and product creation, and a relentless \"get-it-done\" attitude. While senior team members manage commercial negotiations and execution, you will be responsible for keeping the engine running smoothly-tracking milestones, keeping master data pristine, monitoring payment ready dates, and ensuring shipment visibility.

Key Responsibilities

  • 1. Operational & Administrative Support (Connecting the Dots)

    • Act as the primary administrative support for Product Developers and Buyers, assisting them across the full product lifecycle.

    • Maintain and update master data across PLM (e.g., Delogue) and ERP systems (e.g., Business Central) to ensure complete data accuracy across all styles, purchase orders, and SKUs.

    • Organize, track, and log Sample Requests (Proto, SMS/Salesman Samples, Photo Samples, and Production Samples), handling physical sample administration and dispatch.

    • Support with monthly order placements as needed

  • 2. Financial Tracking & Payment Oversight

    • Verify and match initial supplier invoices against purchase orders, delivery notes, and agreed payment schedules.

    • Track and flag upcoming invoice payment dates to senior team members and Finance to ensure timely payments and prevent release holds at origin.

What We Are Looking For (Skills & Mindset)

  • Obsessive Attention to Detail: You love structured data, clear spreadsheets, and double-checking details. You get a sense of satisfaction from pristine administrative records.

  • Startup Mindset & Energy: High energy, self-motivated, proactive, and thrives in a fast-paced, rapidly evolving workplace where no two days are the same.

  • Passionate about Product & Retail: A genuine interest in operations, consumer goods, and how products go from design sketch to retail shelf.

  • Strong Communicator & Connector: You naturally bridge gaps between different departments (PD, Buying, Logistics, Finance) and keep everyone aligned.

  • Problem Solver: You spot discrepancies early, ask questions, and raise flags proactively.

Requirements & Qualifications

  • Experience: 1–2 years in an administrative, coordination, or assistant role within retail, production, buying, supply chain, or e-commerce (or a recent graduate with relevant internships/education in Textile, Retail Management, or Supply Chain), and / or university degree in Textiles / Buying.

  • English speaking required (Swedish or Turkish language is a plus)

  • Retail experience in head office is a plus
