PMO Coordinator – IT Carve-Out / Transformation
Location: Solna, Stockholm – hybrid
The Role
We are looking for an experienced Senior PMO Coordinator to join a major IT Carve-Out/-In and transformation programme in Stockholm.
Working as part of the IT Governance and Portfolio Management control team, you will be responsible for the day-to-day operation of the programme control framework and integrated IT roadmap. You will coordinate planning, reporting, governance, risks, dependencies, costs and readiness across multiple IT workstreams, providing reliable, decision-ready information to programme leadership and Steering Committees.
This is a hands‑on role suited to someone who can bring structure to complex, changing information and confidently coordinate multiple stakeholders and delivery teams.
Key Responsibilities
- Maintain the integrated IT roadmap, detailed schedules, milestones, dependencies, baselines and critical path.
- Coordinate planning, reporting cycles, status updates and follow-up across IT workstreams.
- Manage RAID, dependency, action, decision and change‑control registers.
- Prepare concise programme reports, governance packs, meeting materials, minutes and decision records.
- Track budgets, actuals, forecasts, resources and approved scope/cost/schedule changes.
- Maintain controlled Microsoft 365 repositories and programme evidence.
- Support governance routines, tollgates, cutover, Day 1 readiness, go‑live, handover, hypercare and TSA/RTSA exit activities.
- Ensure programme information is accurate, consistent, current and traceable.
- Drive follow‑up with workstream owners and **escalate** overdue actions, unresolved dependencies and material risks.
- Support consistent PMO ways of working and knowledge transfer to the future organisation.
- Proven experience as a PMO Coordinator, Project Coordinator, Programme Planner or equivalent within a large, complex IT programme.
- Strong hands‑on experience with Microsoft Project and/or Microsoft Planner Premium, including WBS, dependencies, milestones, baselines, critical path and progress/forecast updates.
- Experience coordinating multiple IT workstreams and maintaining an integrated programme plan.
- Strong programme controls experience covering RAID, dependencies, actions, decisions and change control.
- Experience producing executive‑level reporting and governance materials from multiple information sources.
- Experience tracking budgets, actuals, forecasts, commitments and resources.
- Advanced practical skills in Microsoft 365, particularly Teams, SharePoint, Excel and PowerPoint.
- Strong organisational skills with the ability to turn incomplete or changing information into reliable plans, reports, registers and dashboards.
- Excellent written and spoken English.
- Ability to work full‑time and be on site in Solna/Stockholm approximately 3–4 days per week.
Preferred Skills & Experience
- Previous experience supporting IT carve‑outs/carve‑ins, M&A, mergers, separations or standalone organisation transformations.
- Experience with Day 1 readiness, cutover, go‑live, handover, hypercare and TSA/RTSA exit.
- Professional proficiency in Swedish.
- Relevant degree in Business Administration, Engineering, Information Systems, Project Management or a related discipline, or equivalent professional experience.
- Certifications such as PMP, PRINCE2, IPMA, PMI‑PMOCP, MSP, AgilePM or recognised Microsoft Project training.
