Job description

Executive Assistant

Being part of the development of new nuclear power in Sweden is a unique opportunity – and a central part of the future sustainable energy supply. Videberg Kraft is a project company with the mission to develop, construct, and operate Sweden’s future nuclear power. Joining us means being part of building a company from the ground up, with processes, systems and ways of working shaped in parallel with the project itself. Here, progress depends on people who can move forward with confidence, even when not every answer is known, take full responsibility, and look beyond their own role to help the wider project succeed.

We are now looking for an experienced Executive Assistant to support the CEO and Deputy CEO and act as a key link to the leadership team and board.

Your role

As Executive Assistant, your primary focus will be to support the CEO and Deputy CEO and ensure that their day-to-day work runs smoothly. This is a senior role for someone who understands the pace, priorities and agenda of executive leadership, and who can create structure, anticipate needs and make sure that important matters move forward with professionalism and confidence.

Your focus areas
  • Keep track of priorities and follow-up actions for the CEO and Deputy CEO, ensuring that the right things are prepared, coordinated and moved forward in a timely and structured way.
  • Stay on top of preparations for leadership team and board meetings, as well as external presentations, ensuring that agendas, materials and practical details are prepared and aligned well in advance.
  • Capture notes and decisions from meetings and ensure that actions are followed through afterwards.
  • Anticipate needs, identify what requires attention and take ownership before matters become blockers.
  • Coordinate contact with internal and external stakeholders on behalf of the executives, handling requests and sensitive information with professionalism and discretion.
  • Manage the executives’ calendars and inboxes, prioritizing thoughtfully, identifying what needs action and ensuring that their time and attention are focused on the right priorities.
  • Coordinate travel, logistics and related administration, including expense reports.
  • Continuously improve routines and workflows to create structure, clarity and momentum as the organisation grows.
Your qualifications

Required:

  • Several years of experience as a senior Executive Assistant, preferably supporting a CEO, Deputy CEO or other executive-level leaders.
  • Experience coordinating senior-level meetings, including leadership team and board meetings, preparing materials, taking minutes and following up on actions.
  • Previous experience managing complex calendars, inboxes, travel and administrative follow-up.
  • Experience handling sensitive information with a high level of discretion and professionalism.
  • Strong proficiency in Microsoft 365, especially Outlook, Teams, Word and PowerPoint.
  • Excellent written and verbal communication skills in both Swedish and English.

Preferred:

  • Experience supporting senior leaders in a start-up, scale-up, or similar environment where structures and ways of working are still being built.
  • Experience working closely with executive leadership in a complex, security-conscious environment with multiple senior stakeholders and high standards for confidentiality.
  • Previous experience improving administrative routines, workflows or ways of working in a growing organization.
Who you are
  • A senior and trusted professional with strong judgement, integrity and confidence, able to support executives and interact with senior stakeholders with discretion.
  • Highly proactive and able to anticipate what needs to be done, take initiative and drive matters forward without waiting for detailed instructions.
  • Structured, service-minded and highly organized, with the ability to coordinate across senior stakeholders and balance multiple priorities without losing sight of the details.
  • You are able to understand the purpose, priorities and wider context of executive meetings and key external engagements, ensuring that the right materials, agendas and actions are prepared and followed through.
  • Humble, adaptable and hands-on, with a willingness to step in where needed.
What we offer
  • A trusted role close to the CEO, Deputy CEO and senior stakeholders in a growing, purpose-driven organization.
  • A collaborative environment with short decision paths and significant individual responsibility.
  • The chance to contribute to building structure and ways of working from the start.
  • A position in one of Sweden’s most significant industrial initiatives.
