Al-Qadsiah Club نادي القادسية السعودي is seeking an organized Administration & Logistics Coordinator for our academy. You will support daily operations, coordinate with HR and Finance, and liaise with SAFF and MoS to ensure regulatory compliance and smooth events.

Qualifications

• Bachelor's degree in Business Administration, Management, or a related discipline.
• Diploma in Sports Management from a CIES, FIFA, or LDI-accredited institution is preferred.
• FIFA Guardians Safeguarding Certification is an advantage.
• Previous experience in office administration, coordination, or secretarial roles.
• Knowledge of SAFF and Ministry of Sport regulations and procedures.
• Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
• Fluency in English, both written and spoken; Arabic and Spanish desirable.
• Ability to coordinate with internal departments and external stakeholders in a fast-paced sports environment.

Responsibilities

• Provide essential administrative support to the Academy Operations team, ensuring timely completion of tasks and effective management of day-to-day operations.
• Maintain databases, records, and files related to players, staff, and academy activities, ensuring easy access and compliance with internal policies.
• Assist in planning and executing logistical arrangements for academy events, including coordinating venues, transportation, and accommodations.
• Coordinate with the HR department to ensure proper player and staff documentation, contracts, and compliance with internal policies.
• Collaborate with the Finance department to track and manage budgetary requirements, including expenses for travel, events, and supplies for teams and age groups.
• Manage office supplies and procurement documents, coordinating with internal departments (HR, Finance) to meet logistical and administrative needs.
• Liaise with external bodies (SAFF, MoS) to ensure compliance with regulatory requirements and oversee documentation for player registrations, licensing, and permits.
• Ensure academy operations align with standards set by SAFF and MoS, and manage documentation for audits and compliance checks.
