Job summary

CATRION in Riyadh, Saudi Arabia, seeks an HR administrator to manage systems and ensure processes are followed, while handling staffing rosters in line with the labour budget and completing paperwork promptly.

You will meet site staff regularly, gather data, prepare reports, maintain records and charts, coordinate training, and oversee staff movements, time sheets, leave administration, and security-compliant workflows in a demanding camp environment.

Responsibilities

• Manages and implements CATRION systems to ensure that processes are followed.
• Maintains adequate staffing levels and rosters in accordance with the labour budget.
• Complete paperwork in timely and efficient manner
• Meets with site staff on a regular basis.
• Gather data, compiles information, and prepares reports.
• Develop and maintain recordkeeping systems and procedures.
• Responsible for all administration to include staff records, name lists, Organizational charts, leave administration
• Raise recruitment requests for replacement staff when staff resigns, being terminated, and not return from leave.
• Keep a PRF register.
• Inform Camp bosses and Site managers well in advance of staff movements.
• A week in advance inform all staff that flight tickets, cash advances are ready.
• Update master file base on daily staff movement. Specifically mention if employee is Replacement/Reliever
• Email camp boss 10 days before the employee goes vacation/exit from the company with all the ticket information and salary details.
• Prepare Own Staff and TF break down in every site. Record and update all employees’ vacation plan.
• Forwarding relevant documents (RF, Bank Inquiries, Tickets flight, iqama, and others) to the necessary persons for action.
• Prepare clearance paper for employee. Collect present time sheet of employee from site. Prepare current time sheet base on office format and take approval from RM/OM. Attach previous time sheet.
• Coordinate with various trainers to provide training schedule when available.
• Ensure all employees are aware of the training schedule and has all the necessary documents.
• Staff adhere to H2S training requirements.
• Prepare training materials and visual aids for FF, CPR & FA trainer.
• Look for alternative replacement for employees going for vacation or exit. Prepare feasible replacement and/or swap for employees on emergency cases
• Updating the locations organizational chart based in management approval.
• Prepare RF-Recruitment to replace employees went on exit. Prepare RF-Increments, Transfer, Promotions. All RF should be approved by OM/RM before send to HR and Jeddah office.
• Track all RF forms movement and approvals.
• Verification of cost centre of all employees and preparation cost centre changes based on current staff list in master file.
• Receiving of evaluation and annual appraisal.
• Handling monthly meal estimation.
• Manage staff under control effective and as directed by your superiors.
• Keep staff board up to date
• All filing is done as required.
• Keep personnel records up to date.
• Submit daily all documents for signature to the OM and RM
• Staff movement to and from the RO must be kept to a minimum and staff staying at the compound should be limited.
• Manage RO Petty cash and safe keeping as per company policy.
• Salary administration and queries.
• Ensure that each staff member is issued with a JD, signed and a copy is placed on his personal file.
• Any other task being given by his superior for action.
• Perform other job-related duties as assigned.
• Perform other duties related to the job and/or the operation of the company, in accordance with the regulations of the Saudi Labor of Law. Adherence to Cybersecurity policies and procedures.
• Dealing with data and information according to their level of classification.
• Avoid violating the rights of any person or company protected by copyrights, patents, or any other intellectual property, or similar laws or regulations.
• Compliance with Cybersecurity requirements related to the protection of user devices, Internet, software, systems, and Email requirements
• Adhere to the acceptable use policy and Using CATRION information and technical assets only for business purposes.
• Obtaining the required permit from the security department or the owner of the authority in CATRION before hosting visitors in the company's specific sensitive sites.
• Reporting Cybersecurity incidents.
