The Admin Clerk, Dietary, is responsible for managing and implementing CATRION systems to ensure processes are followed, maintaining adequate staffing levels, and overseeing administrative tasks within the dietary department. This role involves coordinating with site staff, managing records, and ensuring compliance with company policies and safety procedures.
Key Responsibilities:
- Maintain adequate staffing levels and rosters in accordance with the labour budget.
- Complete paperwork in a timely and efficient manner.
- Meet with site staff on a regular basis.
- Gather data, compile information, and prepare reports.
- Develop and maintain recordkeeping systems and procedures.
- Manage all administration including staff records, name lists, organizational charts, and leave administration.
- Raise recruitment requests for replacement staff.
- Keep a PRF register.
- Inform Camp bosses and Site managers of staff movements.
- Update master file based on daily staff movement.
- Prepare own staff and TF breakdown in every site and record vacation plans.
- Forward relevant documents (RF, Bank Inquiries, Tickets, Iqama) to necessary persons.
- Prepare clearance papers and timesheets for employees.
- Coordinate with trainers to provide training schedules and ensure staff awareness.
- Prepare training materials and visual aids for FF, CPR & FA trainers.
- Look for alternative replacements for employees going on vacation or exit.
- Update the location's organizational chart based on management approval.
- Track all RF forms movement and approvals.
- Verify cost centers of all employees.
- Keep staff board up to date.
- Manage RO Petty cash and safe keeping as per company policy.
- Handle salary administration and queries.
- Ensure each staff member is issued with a JD.
