Job summary

University of Doha for Science and Technology (UDST) seeks an experienced administrator to manage graduation processes and academic awards. You will compile graduate lists, issue confirmations and certificates, audit student records for accuracy, and coordinate with Colleges and units to ensure fair award decisions.

Requirements include a bachelor’s degree in a relevant field, 6+ years in academic administration, and fluency in English with Arabic capability preferred.

Qualifications

• Bachelor’s degree in a relevant field is required.
• Master’s degree or professional certification is preferred.
• Minimum 6 years of relevant experience in academic administration, student services, or related field.
• Fluent written and spoken English is required; Arabic is preferred.

Responsibilities

• Compile the list of students eligible for graduation and collaborate with stakeholders to develop a comprehensive list of potential graduates.
• Prepare graduation confirmation letters and other graduation documentation to facilitate timely and effective correspondence.
• Conduct graduation audits on student records to ensure accuracy, completeness, and compliance with graduation requirements, university policies, and procedures.
• Collaborate with Colleges to identify and resolve discrepancies in student records.
• Facilitate the graduation process by confirming graduates, identifying high achievers for academic awards, executing the graduation communication plan, and preparing certificates and graduation correspondence.

Responsibilities

• Compile the list of students eligible for graduation and collaborate with stakeholders to develop a comprehensive list of potential graduates.
• Prepare graduation confirmation letters and other graduation documentation to facilitate timely and effective correspondence.
• Conduct graduation audits on student records to ensure accuracy, completeness, and compliance with graduation requirements, university policies, and procedures.
• Collaborate with Colleges to identify and resolve discrepancies in student records.
• Facilitate the graduation process by:

• Confirming graduates.
• Identifying high achievers for academic awards.
• Executing the graduation communication plan.
• Preparing certificates and graduation correspondence.
• Conferring degrees upon successful completion.

• Respond to inquiries from students, faculty, and other stakeholders regarding graduation requirements, academic awards, and related matters.
• Collaborate with Colleges and relevant Business Units to ensure fair and transparent selection processes for academic awards and recommend changes as required.
• Determine academic award recipients based on established criteria and guidelines and communicate decisions to recipients.
• Assist in preparing award certificates and related materials.
• Maintain accurate records of award recipients and ensure student records are updated accordingly.
• Liaise with the Admissions and Registration Directorate and Financial Division to ensure timely payment of monetary awards to recipients.
• Collaborate with the Marketing and Communications Directorate, Colleges, and other stakeholders in planning, organizing, and executing graduation and academic awards ceremonies.
• Review and recommend changes to Graduation Policies and Procedures and Academic Awards criteria.
• Assist with the registration process at the beginning of each semester to provide timely and accurate services to students.
• Assist in coordinating updates to the Academic Catalog.
• Perform miscellaneous job-related duties as assigned.
