Job summary

Mashreq is seeking an experienced Executive Secretary to support the Country Head. You will manage the complex calendar, coordinate with internal and external stakeholders, and prepare briefing materials and board packs.

You will also handle executive correspondence, travel arrangements, and confidential records, ensuring timely delivery of strategic initiatives across functions. This role requires 5–8 years in banking as an Executive Secretary, excellent English, and advanced MS Office skills,

Qualifications

  • Graduate from a well reputed University.
  • 5 to 8 years banking experience as Executive Secretary.
  • Excellent command over written and spoken English.
  • Advanced proficiency in Microsoft Office Suite.
  • Experience with Microsoft Copilot and AI productivity tools.

Responsibilities

  • Manage and optimize the CH's calendar, priorities, and engagements.
  • Act as gatekeeper and liaison between the CH and stakeholders.
  • Prepare briefing materials, board packs, and executive presentations.
  • Draft and review professional correspondence on behalf of the CEO.
  • Coordinate senior leadership meetings, governance forums, and events.
  • Ensure travel logistics and event management, including contingency planning.
  • Maintain confidential records and information flows with high discretion.
  • Support execution of strategic initiatives and cross-functional projects.
  • Act as central coordinator across business, risk, operations, and support functions.
  • Interface with regulators, clients, and c-suite executives; facilitate communication.

Job description

Job Purpose

To support and assist the Country Head in meeting departmental objectives by providing full secretarial services.

Key Result Areas
Executive & Business Support
  • Manage and optimize the CH's complex calendar, priorities, and engagements, ensuring alignment with strategic objectives
  • Act as a gatekeeper and liaison between the CH and internal/external stakeholders (clients, regulators, board members).
  • Prepare high-quality briefing materials, board packs, and executive presentations
  • Draft and review professional correspondence and communications on behalf of the CEO
Operational & Coordination Excellence
  • Coordinate senior leadership meetings, governance forums, and external engagements, including agenda setting and follow-ups
  • Ensure seamless travel, logistics, and event management, including contingency planning
  • Maintain confidential records, documentation, and information flows with high accuracy and discretion.
Strategic & Project Support
  • Support execution of strategic initiatives and cross-functional projects, tracking milestones and ensuring timely delivery.
  • Follow up on projects and ensure key waypoints are met and stakeholders are working to ensure projects are on time.
  • Conduct research, analysis, and preparation of summary insights for decision-making
  • Act as a central coordinator across business, risk, operations, and support functions
Stakeholder & Communication Management
  • Interface with C-suite executives, regulators, and key clients, maintaining professionalism and alignment
  • Facilitate effective communication flow across leadership teams to avoid bottlenecks
  • Support Board and governance activities, including documentation, follow-up, and tracking actions.
Knowledge, Skills and Experience
  • Graduate from a well reputed University.
  • 5 to 8 years banking experience as Executive Secretary.
  • Excellent command over written and spoken English.
  • Excellent organizational skills, including prioritizing & multi-tasking effectively in a fast-paced environment.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, Power Point, Teams)
  • Strong working knowledge of Microsoft Copilot and AI-enabled productivity tools, leveraging them for:
    • Drafting executive communications and reports
    • Summarizing large information sets and meeting notes
    • Enhancing calendar, email, and workflow management
    • Data analysis, presentation and summarising by themes.
