Job Description

We are seeking a proactive Program Coordinator to join our team, helping us deliver impactful training programs that empower people through tech.

As Program Coordinator, you’ll support the design and execution of training solutions for B2C clients, acting as the bridge between our internal teams and external stakeholders.

You’ll collaborate closely with Sales and Instructors to understand client needs and ensure unforgettable learning experiences. From planning to delivery, you’ll be hands-on with every aspect of course logistics and coordination. You’ll also support our B2B programs when needed, and contribute to the delivery of government-supported initiatives, namely Cheque Formação + Digital. 🚀

Your Responsibilities
  1. Course Operations

    • Plan and coordinate all operational steps to run a course, from scheduling to final delivery
    • Set up and manage learning platforms and tools, ensuring they are ready and accessible for each program
    • Align and brief instructors and partners, making sure all stakeholders are on the same page before the start of a course
    • Prepare course documentation (agendas, checklists, communication templates) to guarantee smooth operations
  2. Learner & Client Experience

    • Act as the main point of contact for learners and clients throughout their journey for the courses you own
    • Provide clear, timely communications (emails, messages, onboarding guides) before, during, and after each program
    • Resolve issues and questions proactively, ensuring a seamless and professional experience
    • Collect and analyze feedback from learners and clients to continuously improve our courses and service quality
  3. Program Development & Compliance

    • Maintain accurate records and reporting of key dates, attendance, and performance metrics
    • Support government-funded programs (especially Cheque Formação + Digital) by handling documentation, compliance, and reporting requirements
    • Contribute to quality assurance processes, ensuring that all courses meet internal standards of consistency and excellence
    • Collaborate with Sales and Growth teams to optimize processes and propose improvements that make our programs more scalable and impactful
    • Support B2B training projects when needed, adapting coordination to different client profiles and expectations
About you
  • You are based in Portugal (ideally Lisbon)
  • You (ideally) have 1+ year of experience in program coordination, customer support, operations, or training delivery
  • You are a clear and confident communicator, fluent in Portuguese and English (spoken and written)
  • You excel in organization, keeping track of details, timelines, and processes with ease
  • You enjoy working across teams and building bridges between different stakeholders
  • You are comfortable with administrative tasks and have confidence managing documentation and reporting
  • Experience with CRMs or project management tools (HubSpot, Notion, Trello, etc.) is a plus!
