About the role :

We are looking for a dynamic and proactive Office Manager to join our team in Lisbon. In this role, you will ensure the smooth day-to-day operations of the office and create a pleasant, efficient, and welcoming work environment for all team members.

Main responsibilities:

Onboarding & Offboarding

  • Prepare and coordinate onboarding and offboarding processes
  • Ensure a smooth arrival for newcomers (equipment, welcome pack, setup)
  • Support internal teams during employee transitions

Office Operations & Logistics

  • Manage business travel bookings (transport and accommodation)
  • Handle office supplies, equipment, and employee requests
  • Liaise with vendors and service providers (hotels, office equipment, etc.)
  • Ensure a functional and pleasant office environment (snacks, drinks, coffee…)

Budget & Cost Control

  • Support with monthly budget tracking and reporting
  • Monitor suppliers and participate in cost optimization initiatives

Real Estate & Office Capacity

  • Monitor office space needs and capacity planning
  • Contribute to workspace improvements and supplier negotiations

Processes & Improvements

  • Maintain documentation of office processes
  • Propose and implement improvements for operational efficiency
