We are hiring a Project Coordinator to be the single owner of visibility and momentum across the entire SaaS platform lifecycle — from product definition through build, and from client onboarding through live operations.
This is not a passive tracking role. You will know, at any given moment, exactly where every workstream stands, who is blocking what, and what is due tomorrow. You will chase people, surface problems before they become incidents, and make sure nothing is agreed without a name and a date attached. You will translate that detail into clear, honest reporting for both operational teams and management.
What you will do
End-to-end oversight
- Maintain a live, complete view of all SaaS platform workstreams: product definition, design, engineering, QA, release, client onboarding, support and run operations.
- Own the master plan: milestones, dependencies, critical path, resourcing and risks, kept current at all times.
- Track every commitment, action and decision to closure — with owner, due date and status — across product, engineering, client-facing and operational teams.
- Attend and structure key ceremonies (sprint planning, reviews, retrospectives, release go/no-go, client onboarding checkpoints) and ensure outputs are recorded and followed up.
Reporting and dashboards
- Produce the weekly status report and dashboards for two audiences: operational (team-level detail, blockers, next actions) and management (progress against plan, risks, decisions required, budget/effort consumption).
- Prepare material for steering committees and client status meetings.
Stakeholder follow-up and progress control
- Follow up relentlessly with internal teams, contractors and client stakeholders on open items; elevate early and factually when commitments slip.
- Verify progress against evidence (tickets, PRs, test results, sign-offs), not against verbal updates.Identify inconsistencies between plan, backlog and reality, and force resolution.
- Manage change: log scope changes, quantify impact on timeline/effort, and route for decision.
Process and documentation
- Maintain project documentation (RAID logs, decision logs, meeting minutes, runbooks index) in a structured, searchable form.
- Continuously improve coordination processes and templates; propose automation where reporting is manual.
Must-have
- 3+ years coordinating or managing software or SaaS delivery projects, ideally covering both build and operations phases.
- Demonstrated experience producing management-level status reporting and dashboards.
- Hands-on with Azure DevOps (or Jira/equivalent) for backlog, board and pipeline tracking.
- Strong grasp of agile delivery (Scrum/Kanban) and enough understanding of the software lifecycle (CI/CD, environments, releases, testing) to hold technical conversations and validate progress claims.
- Exceptional attention to detail and follow-through — you close loops, you do not leave threads open.
- Assertive, diplomatic and comfortable chasing senior stakeholders and external clients.
- Excellent written and spoken English.
- Advanced Excel / PowerPoint; comfortable structuring data for reporting.
- Right to work in the EU.
Nice-to-have
- Project management certification (PMP, PRINCE2, PMI-ACP, PSM/CSM).
- Experience with enterprise B2B SaaS onboarding or with regulated / professional-services clients.
- Exposure to Power BI or similar BI tooling.
- Experience working with distributed teams and external contractors.
- French, German or Portuguese.
- Familiarity with enterprise B2B SaaS products.
