Your role

We are looking for a professional and proactive Clinic Receptionist to be the first point of contact for patients and visitors at our serene clinic in Cascais, Portugal.

In this front-of-house role, you will coordinate daily clinic operations, support the clinical and administrative teams, and ensure a welcoming and organised environment. You will play a vital role in facilitating communication, scheduling, and documentation across the clinic.

Key Responsibilities

Patient Interaction & Front Desk Operations

  • Greet and welcome patients and visitors with professionalism and empathy.
  • Manage check-in and check-out procedures efficiently.
  • Respond to phone calls, emails, and clinic messages in a timely and helpful manner.
  • Ensure that patients are informed, supported, and guided throughout their visit.

Appointment Coordination & Scheduling

  • Book, confirm, and manage appointments in the clinic's scheduling system.
  • Liaise with clinicians and nurses to ensure optimal scheduling of treatments and consultations.
  • Coordinate daily workflows to prevent delays and ensure efficient patient flow.

Documentation & Administrative Support

  • Ensure all patient consent forms and documentation are properly completed and signed.
  • Maintain accurate digital records and support EMR data entry.
  • Prepare documents and communication for patient appointments as needed.

Team & Workflow Coordination

  • Act as a key point of communication between reception, clinical, and administrative teams.
  • Assist clinical staff in preparing for patient appointments.
  • Communicate updates, delays, or issues clearly and promptly to the team.

Inventory & Office Support

  • Monitor and manage office and clinical supplies, placing orders when necessary.
  • Maintain cleanliness and organisation of the reception and patient waiting areas.
  • Support occasional stock management tasks in collaboration with the operations team.

Your profile

  • Previous experience in a healthcare or hospitality reception role preferred.
  • Strong communication and interpersonal skills.
  • Excellent organisational and multitasking abilities.
  • Proficient in digital tools, email, scheduling systems, and EMR platforms.
  • Professional appearance and a warm, patient-friendly attitude.
  • Fluency in Portuguese and proficiency in English is required.
