Job summary

Schaeffler in Wroclaw offers a 12-month contract for a T&E and Finance support role. You will review and process travel and expense reports, coordinating with internal and external stakeholders and supporting internal controls testing.

Your Key Responsibilities

• Receiving and reviewing T&E reports and/or other documentation for completeness and compliance with defined policies and procedures, and coordinating the daily workflow
• Verifying and processing T&E reports in Concur/Travel Light according to defined policies and procedures, including addressing backlogs or taking action when needed
• Managing internal and external queries, contacting stakeholders in a timely manner, and resolving queries efficiently
• Supporting internal control testing and preparing relevant documentation
• Performing operations in accordance with operating instructions and updating working procedures when processes or roles and responsibilities change
• Identifying and proposing ideas for continuous process improvement across business and IT
• Taking an active part in global and regional initiatives and projects
• Supporting the Coordinator in maintaining the quality and efficiency of T&E activities to achieve agreed performance targets (SLA and KPI metrics)
• Managing workflows effectively to ensure the prompt and appropriate processing of all incoming reports
• Supporting the training of T&E team members
• Taking responsibility for the T&E process transition and actively contributing to its stabilization
• Carrying out additional tasks assigned by the position holder’s superior, provided they are essentially related to the position holder’s duties

Your Qualifications

• Completed studies in economics or a related field
• 1-2 years of experience in T&E, HR or related finance field
• Demonstrating a good understanding of T&E processes, related reporting, orientation in internal control model is an advantage
• Experience in supporting process transitions will be an asset
• Fluency in both Polish and English, with a minimum of C1 proficiency
• Knowledge of German is a plus
• Familiarity with Concur or SAP FI is an asset
• A customer-oriented approach, willingness to learn, and openness to feedback
• Good organizational and problem-solving abilities
• Openness for continuous improvement, willingness to come up and address innovative ideas
• Willingness to provide on-the-job support to colleagues when requested by a senior colleague or supervisor
