Job summary

Simon-Kucher is seeking a Senior HR Coordinator in Warsaw to provide day-to-day HR support for 100+ employees, manage benefits, onboarding, and HRIS data in SuccessFactors. This position emphasizes accuracy, responsiveness, and collaboration with the global HR team.

The role is hybrid with three days in the Warsaw office and one night-shift hour block (12:00–20:00) per week. Fluency in Polish and English is required; EU work permit is necessary.

Qualifications

• 3–5+ years of experience in HR Operations, HR Administration or a similar role.
• Excellent interpersonal and communication skills with a proactive approach.
• Hands-on experience with payroll coordination and external payroll providers.
• Very good command of Polish and English language.
• Strong attention to detail and accurate data management.
• Experience with HRIS systems; knowledge of SuccessFactors is advantageous.
• Available to work 12:00–20:00 one day per week for night-shift coverage.

Senior HR Coordinator

Join us as a Senior HR Coordinator and become a trusted point of contact for more than 100 employees, supporting them in their day-to-day HR needs. You’ll take ownership of benefits administration, answer employee questions, and help ensure a smooth and positive employee experience. If you enjoy working with people, solving problems, and making HR processes work seamlessly, we’d love to hear from you!This is a hybrid role, with 3 days per week in the Warsaw office. The successful candidate should also be available to work from 12:00 to 20:00 one day per week to support night-shift employees.

The salary for this position ranges from PLN 12 000 to PLN 14 500 depending on the candidate’s relevant experience, skill set, level of expertise and overall fit for the role. Additional factors such as industry background, technical competencies and interview performance may also influence the final offer. The compensation package at Simon-Kucher CBS consists of a gross base salary, a monthly remote work allowance and an annual bonus. The bonus is paid in December and is based on the results of a 360-degree performance evaluation.

How you will create an impact:

• Serve as the first point of contact for employees, responding to day-to-day HR-related questions and providing timely and accurate support.
• Manage HR administration throughout the entire employee lifecycle, including onboarding, employment changes, and offboarding.
• Administer and maintain employee accounts and data in SuccessFactors, ensuring information is accurate and up to date.
• Coordinate monthly payroll activities and ensure that all relevant and accurate information is provided to the external payroll provider on time.
• Conduct regular quality checks and reviews of employee data, accounts, and personnel files to ensure accuracy, completeness, and compliance.
• Administer employee benefits and programs, including ongoing employee communication and support.
• Develop and manage thoughtful HR policies and practices that fairly balance the interests of all team members while remaining consistent with the company culture and global guidelines.
• Initiate, prioritize, and deliver special projects as needed to support the broader Global HR Team and its priorities.

Your profile:

• 3–5+ years of experience in HR Operations, HR Administration or a similar role, preferably within an international environment. Working knowledge of Polish labor law is a must have.
• Excellent interpersonal and communication skills with a strong employee-service mindset, a proactive, solution-oriented approach.
• Hands‑on experience with payroll coordination and collaboration with external payroll providers.
• Very good command of Polish and English language.
• Solid understanding of the employee lifecycle and day-to-day HR operations.
• Experience with benefits administration: Multisport cards, private health insurance, company social benefits fund.
• Strong attention to detail and commitment to maintain accurate employee data and documentation.
• Experience working with HRIS systems; knowledge of SuccessFactors would be an advantage.
• Ability to handle sensitive and confidential information with discretion.
• Available to work from 12:00 to 20:00 one day per week to support night-shift employees.
